  • To provide administrative support and assistance for the development and management of Human Resources functions, for the development and maintenance of policies & procedures, for or the security of staff and for the promotion of the Child Safe Guarding Policy
Scope of Role
  • Reports to: Field Manager
  • Staff directly reporting to this post: Admin Assistant, Office Assistant
  • Budget responsibility: None
Key Areas of Accountability People Management & Leadership:
  • Manages the Admin Assistant and Office Assistant and ensures tasks are completed in a timely manner
  • Provides capacity building opportunities to two direct reports
  • Ensures all administrative and management tasks (i.e. timesheets) are submitted and signed in a timely manner
Human Resource Management:
  • Assist the Human Resource Coordinator in the development of annual needs for development / training through volunteers monthly performance review process.
  • Participation in the organisation of trainings and maintaining a list of trainings conducted.
  • Support the Human Resource Coordinator in researching training opportunities as prioritised by the Senior Management Team or as requested by supervisors.
  • Assist HR in collecting timesheets for project and support staff and maintaining a log.
Administrations:
  • Maintain leave-tracking and performance review schedule.
  • Maintain Personnel files for all staff as well as the staff database.
  • Maintain Database for consultants
  • Prepare contracts and offer letters
  • Provide admin support to supervisors to arrange training opportunities for staff.
  • Ensure that all changes to SC payroll is prepared/updated punctually and that these changes are checked and signed off by HRM before being presented to the Country Director.
Staff Health and Safety:
  • Maintain records of all incident reports.
  • Provide relevant information necessary for the management of the combined accident and workmen compensation and group life insurance cover for staff.
  • Registration of staff with Health Management Organisations (HMO)
Office Admin Roles:
  • Oversee general maintenance of the office space and guest house, under the supervision of the Field Manager
  • Ensure that the office is cleaned and maintained on a daily basis
  • Ensure that there are stocks of needed office stationary and consumables on site
  • Ensure that the guest house is well maintained and cleaned on a daily basis
  • Ensure that the guesthouse has proper supplies and needed consumables for residents
  • Other - Other ad hoc tasks as requested by Line Manager.

Job Title: Supply Chain Assistant Ref Id: 190000ZC Location: Yobe Employee Status: Fixed Term Role Purpose
  • To manage and support logistics - including the office vehicles, assets, properties and an efficient procurement system to ensure transparency and accountability for SC Nigeria.
Scope of Role:
  • Reports to: Supply Chain Coordinator
  • Staff directly reporting to this post:
  • Budget responsibility: None
Key Areas of Accountability People Management & Leadership:
  • Supervise, coordinate, monitor and guide the work of Direct Reports.
  • Manage performance on an on-going basis, including motivation, problem resolution, training identification as well as provision of formal Performance Appraisals according to SC Nigeria policies and procedures. Hold monthly review meetings with Direct Report.
  • Perform personnel administrative tasks, including coordinating and participating in the hiring and promotion process.
Communications & Networking:
  • Liaise with identified preferred travel agents in Maiduguri and Abuja.
  • Manage travel arrangements, including hotel and flight reservation and bookings.
  • Liaise with Abuja to ensure coordination of functions when official visitors are expected
Transport and Fleet Management:
  • Manage, maintain and repair vehicles.
  • Responsible for administering litigations and traffic offenses.
  • Ensure vehicles have current and lawful documentation.
  • Manage service agreements related to vehicle maintenance and fuelling.
  • Update the vehicle cost schedule and produce regular reports.
  • Receive travel requests, and maintain trip schedules and Staff Movement Board.
Asset & Facility Management:
  • Manage and maintain Asset and Inventory list for SC Nigeria leased property.  Ensure assets are numbered correctly.
  • Ensure good condition of assets, and maintain Asset Condition reports.
  • Maintain Fixed Asset files, including vehicles and lease agreements and documentation for leased houses.  Ensure proper documentation of assets transfers.
  • Ensure leased properties are in good habitable conditions.  Overseeing repairs on these houses, liaising with the caretaker and landlord where necessary.
  • Establish and maintain a list of contact details for preferred service providers including carpenters, electricians, plumbers, generator servicers and builders and make this list available to staff.
Procurement and Supply:
  • Respond efficiently and quickly to purchase requisitions, and follow up and maintain record of supplies.  Ensure that the items bought match the request, are of good quality, reliable, appropriate and at a reasonable price.
  • Record all incoming goods, their dispatch and timely delivery to projects. Ensure complete documentation of procurement actions consistent with SC Nigeria policy is kept on file.
  • Ensure proper documentation that allows quick and efficient release of goods from customs.
  • Maintain the procurement file and ensure that it is up to date with all documentation and information relating to any procurement under taken.
  • Produce monthly logistics site report, vehicle and generator cost performance report for the Katsina office.

  • To provide a high standard of hygiene and cleanliness throughout the Office.
Scope of Role

Key Areas of Accountabilities
  • Sweep and mop floors.
  • Dispose dirt inside the waste basket and dustbin daily
  • Use cleaning solutions to remove stains and clean surfaces.
  • Mix various cleaning agents.
  • Clean windows, glass partitions, and mirrors, using soapy water or other cleaners, sponges, and squeegees.
  • Dust furniture and scrub surfaces clean.
  • Clean and service restrooms with mops and disinfectants every hour.
  • Identify and report possible repairs.
  • Support in movement of heavy furniture, equipment, and supplies.
  • Wash kitchen utensils and make sure the kitchen surface is always neat, clean and dry
  • Ensures no plates, cups or utensils are left over the night in the kitchen sink.
  • Remove cobwebs.
  • Sweep the compound
  • Wet-wipe and polish all high-level shelves.
  • Wet-wipe window ledges.
  • Assist with photocopying and scanning of documents as directed.
  • Update stock bin cards as directed.
  • Assist to photocopy and scan documents are required.
  • Stay at the Front Desk to attend to visitors as directed.
  • Report any damage or fault noticed within the premises or on furniture, equipment and supplies to your Line Manager.
  • Undertake any other duties as may be required from time to time.
  • Always adhere to all company policies and procedure
