Job Title: Personal Assistant to the Managing Director
Location: Lagos
Job Summary
- The Personal Assistant to the Managing Director is responsible for overseeing both corporate and personal administrative affairs of the Managing Director, and other responsibilities as may be necessary to enhance the overall effectiveness and efficiency of the Managing Director.
Responsibilities
- Daily examination of newspapers, magazines, etc. for advertisements, announcements, etc. that is in line with the business of the company and bringing same to the notice of management.
- Compile information necessary for the preparation of presentations for in-house lectures and for outside engagements.
- Study various reports sent to management and draw inferences.
- Preparation of materials for Board meetings.
- Compilation of materials for the preparation of annual reports and accounts.
- Taking minutes and attendance of various committee meetings
- Participates in business development efforts through creative inputs and insights – financial and otherwise.
- Responsible for producing letters, telefaxes, e-mails, memos and other correspondence as requested.
- Sorting and distribution of mails as directed.
- Compilation and regular dispatch of mails/messages by courier to clients and area offices.
- Manages and supervises the means of communication, e.g. telefax, e-mail and telephone reception.
- Management of stationery, binding, printing and writing materials vis-à-vis maintaining adequate stock to allow uninterrupted workflow.
- Expense Recording and Reconciliation
- Arranges appointments maintains calendar and assists in meeting deadlines.
- Makes travel and hotel reservation arrangements when necessary.
Requirements
- Sound analytical mind and attention to details
- Strong drive and ability to work with little supervision
- Excellent knowledge of Microsoft Office
- Reliability & Discretion.
- First Degree in relevant discipline with a minimum of 2 years in the exact role.
- Excellent communication, writing and reporting skills.
- Excellent interpersonal and relationship management skills
