Job Description
- We are actively seeking a Lagos-based Executive Assistant who will play a crucial role in supporting and enabling our senior leadership.
- The perfect candidate will possess a proactive problem-solving mindset and exceptional communication abilities, be highly organized, technology-savvy, a great multi-tasker and have a keen eye for detail.
- This individual should have prior experience in an office setting, handling administrative responsibilities, and offering assistance to managerial staff.
- As the executive realm is ever-changing, we place a premium on the adaptability and reliability of our executive assistants, who must be willing to learn how to adopt new technologies to increase efficiency and facilitate as smooth a working environment for their principals as possible, all while upholding the utmost confidentiality regarding the company’s systems and operations.
Objectives of this Role
- Support the principal and provide additional support to executive team members, as directed, to ensure that company goals and objectives are accomplished and that operations run effectively;
- Maintain and refine internal processes that support high-ranking executives company-wide, and coordinate internal and external resources to expedite workflow;
- Manage communication with employees by liaising with internal and external executives on various projects and tasks;
- Plan and orchestrate work to ensure that senior executives’ priorities are met, organizational goals are achieved, and best practices are upheld;
- Manage, organize and appropriately store a range of information on behalf of the principal, including diary management, note taking, etc.
Responsibilities
- Provide complete administrative support to the principal, including managing and coordinating complex professional and personal scheduling and calendar management, email, phone calls, client management and corporate logistics;
- Coordinate and manage the flow of information between the principal and other key stakeholders, such as other senior executives;
- Manage the principal’s travel logistics and activities, including accommodation, transportation, and meals (as may be required);
- Provide office support, such as typing, dictation, spreadsheet creation, email composition and maintenance of filing systems and appropriate contacts databases;
- Maintain professionalism and strict confidentiality with regard to all personal and professional materials;
- Research and organize relevant data to communicate to others and represent senior management, which may include directors, executives, and committees;
- Use technical tools and software such as the Microsoft Office Suite, especially text processing software and Excel spreadsheets;
- Organize team communications and plan events, both internal and external;
- Lead mini projects as instructed by the principal;
- Draft basic documents frequently used by the principal and/or the company;
- Set up physical and virtual meetings on behalf of the principal and be confident about managing such meetings, including data and screen sharing during such meetings, appointing meeting leads, recording, note taking, etc.;
- Manage additional administrative tasks, such as scanning, copying, and arranging for electronic execution of documents;
- Monitor and manage follow-ups and reminders relating to key tasks on the principal’s to-do-list;
- Organise basic reports and budgets;
- Screen visitors and access to the principal;
- Accompany the principal on corporate trips (as may be required); and
- Act as a virtual assistant as may be required by the principal.
Preferred Skills and Qualification
- Four or more years of experience in an administrative role reporting directly to upper management
- Flexible team player, willing to adapt to changes and unafraid of challenges
- Ability to maintain confidentiality of information related to the company and its employees
- Must be willing to travel (within West Africa) as may be required
- Proficient with use of tech tools for diary / calendar management and document organisation.
- Excellent written and verbal communication skills
- Strong time-management skills and an ability to organize and coordinate multiple concurrent projects
- Proficient with office productivity tools and an aptitude for learning new software and systems
