We are recruiting to to fill the position below:     Job Title: Driver Location: Maiduguri, Borno Supervisor : Fleet Assistant Technical Supervisor: Logistics Coordinator Main Responsibilities

  • Under the supervision of the above, and in technical link with the Logistic coordinator, the Driver is in charge of driving MdM vehicles according to the MdM procedures, and assisting the logistics team for maintenance of the office/guesthouse/warehouse and loading/unloading goods and material into the cars.
Tasks Description Driving vehicles and passenger safety and security of transported materials/equipments :
  • Following MDM driving Regulation
  • Adapting his/her behavior and driving to assure passengers' security, MDM equipment and the rest of road/street users (drivers, pedestrians, etc.).
  • Always drive according to the Nigerian circulation code and respecting speed limits
  • Always wearing safety belt while driving and ensuring all passengers do the same
  • Ensuring having a valid driving license and always have it ready for any eventual inspection
  • Ensuring that all necessary documents are valid and renewed before the expiration date (yearly road safety check, registration of main drivers with the Rental Company, etc.)
Maintenance of the vehicle:
  • Checking on a regular basis the vehicle's motor, oil level, breaks liquid, air pressure of wheels, wind shield liquid, etc.
  • Alerting direct supervisor in case of technical problem or need for maintenance
  • Organizing or if possible carrying out of any necessary maintenance after validation of direct supervisor
  • Ensuring the vehicle is clean on the inside and outside
  • Ensuring all necessary equipment and material is present in the vehicle and in good condition (tools, spare wheel, airlift, belts, ropes, etc.)
  • Refilling the fuel tank each time the tank is at half of its capacity
Remaining stand-by in the office in between movements Other Duties/Responsibilities
  • Realize small purchases following the orders of the logistics officer
  • Fill a logbook with kilometers and fuel consumption he does
  • Supporting the team for manual tasks (load/unload the vehicle)
  • Participate in internal work meetings and inform MdM team on log issues
  • Report any security related issues to the supervisor
  • Supporting operational organization of field trips
  • Support in collecting quotations in Abuja on behalf of the log department
  • Maintaining full confidentiality for all work-related information
Others:

    Job Title: Assistant, Base Log Supply Location: Maiduguri, Borno Supervisor : Base Logistician Functional Supervisor: Mission Supply Logistician Main Responsibilities
  • The Base log supply assistant (BLSA) works under the responsibility of the Base Logistician. He has functional links with the Mission supply logistician.
  • He supports the base logistician for all supply, storage and transportation responsibilities at base level:
    • Realize purchasing at the better prices and qualities
    • Ensure to follow all purchase process (under MDM procurement process)
    • Work in close collaboration with the pharmacist on all medical orders and deliveries done at national level by the National Supply Logistician;
    • Follow up of medical item deliveries with the pharmacist
    • Keep and update all logistic purchase files system
    • Assist the pharmacist for stock management
    • Any other additional duties requested by his supervisor.
Tasks and Responsibilities Objective 1 - In collaboration with the base Log responsible for supervising the supply chain at base level:
  • Responsible for local purchasing of goods for the mission, upon instruction and under the supervision of the MdM Purchasing procedures
  • Purchase goods ensuring the optimum price/quality ratio on the market
  • Collecting quotations and checking prices for purchase of goods and services
  • Ensure that the suppliers fill in all receipts/invoices for local purchases correctly
  • Ensure the delivery of all purchased items to the requester, collects the proof of delivery and proceeds to the validation of the invoices by the Admin team
  • Do not accept money, loans, credits, gifts, entertainment or commissions from past, present or future suppliers.
  • Ensure the implementation of supply procedure according to MDM procedure
  • Monitor the supply, the deadlines, delivery dates;
  • In collaboration with the base log, make sure that all purchase done by following the financial plan, cash forecast
  • Check the Purchase dossier before sending for validation;
  • Update the purchase follow up, and shared it with project team and Log base;
  • Anticipate the supply activities related to projects and convey to purchaser on time
  • Participate in project procurement plan.
Objective 2 - Transport:
  • Anticipate the transport needs for projects & office activities
  • Make sure the safe & on time transportation of projects material to the field or between warehouse,
  • For items send from the base to the clinics Maiduguri: In collaboration with the Log base team, anticipate the need of daily worker for of loading, and loading in each request make sure that the following information (Number of daily worker, purpose of work, volume, quantity, weight, duration). Be sure that the daily worker rate payment of MDM Nigeria is followed.
  • Make sure that all transport document are in place and signed by the required staff, Way bill, packing list, contract, etc.
  • Make sure that all materiel is checked when of loading before storage.
Objective 3 - Stock Management:
  • For materiel coming from Maiduguri, none equipment: Check, record and put away goods received, under the supervision of the log base.
  • Regularly check inventory levels (physical counts) for logistic stock.
  • When an order is received: Check the number of packages, check packaging and content and inform the log base of any problems (missing or damaged goods, etc.).
  • After receipt, puts the goods away following instructions of the log base.
  • After receipt, immediately update the stock cards, recording the reference number of the receipt document, and put the goods away.
  • Ensure that all items are well organised and correctly stored, well protected, fully identified and easily accessible (cleanliness, security, access, etc.).
Objective 4 - Base meeting and report:
  • Participate meetings with logistics base staff;
  • Participate in logistics meetings and programs for the purchase update once a week,
  • Participate with the Log base at the monthly SITREP, each last week of the month
  • Participate with the Log base at the Logistic monthly report each end of the month (none asset inventory, purchase follow up) and submitted to the log base.
  • Update the supplier data list, on monthly basis.
  • Update the data prices on monthly basis.

  • Education (Essential) Bachelor's Degree in relevant field

    Job Title: General Coordinator Assistant Location: Maiduguri with visits to the field Supervisor: General Coordinator Line Reports: None Main Responsibilities Under the supervision of the General Coordinator, and in technical link with all departments coordinators, the General Coordinator Assistant will be responsible for:
  • Internal and external coordination and representation
  • Liaison with state authorities as well as local, including traditional leaders
  • Help the General Coordinator in understanding the humanitarian situation and the context
Tasks Description Internal and external coordination:
  • Participate to weekly coordination meeting and prepare the minutes to be shared to coordination team and Desk.
  • Compile the sitrep parts from all departments and finalize it with GenCo.
  • Prepare MDM program reports to be shared externally when needed (ex: authorities such as Minister of Plan.)
  • On request of the GenCo, attend non programmatic coordination meetings (ex: INSO, OCHA…)
  • File and archive documents related to the GC’s responsibilities
  • In case of visibility activities (with prior validation of HQ) and on request of GenCo, take the lead in the organization and implementation of such action (pictures, collection of testimonies) in close collaboration with med and log teams.
  • Monitor regularly the situation in Borno State and in case of substantial changes, population movement or degradation of the situation reports immediately to the GenCo.
Liaison with authorities on MDM presence in Nigeria:
  • Make sure that MDM comply with all government rules linked to INGO, with the support of our lawyer if needed.
  • Inform the GenCo of all changes related to the legal framework of INGO working in Nigeria.
  • Initiate on time all MDM registration renewal and make sure that needed documents are shared on time (in close collaboration with HQ secretary) to Ministry of Plan.
  • Actively liaise with the INGO forum about all administrative impediments faced by INGO.
Security:
  • Monitor closely the security context (Borno state but also the Lac basin region), alert the Genco / Logco of any changes that could impact MDM activities, and produce monthly analysis (short report).
  • Brief staff (including expatriate) or any new external visitor about the national & local context, cultural and social customs.
  • Put in place, update and share with GenCo on a monthly basis a contact list (ONG, authorities, security entities, community leaders, HF staff…) per site (Maiduguri, Damboa…).
  • Organize and participate with the GenCo to community leaders meetings to understand their needs & problems or to solve local issues where MDM could be involved.
  • Travel on regular basis to all operational sites to build strong networks with stakeholders in order to work on MDM acceptance in the area (communication on MDM activities, assess the perception of the organization) and collect information about the security context.
  • Helps to organize and participate to assessments or exploratory missions and evaluations with ad hoc coordination members.
  • On request of the GenCo, support and monitor the good implementation of the security pack in all operational sites, highlight any breach and organize training of the team to ensure their adherence to the rules.
  • Participate in the update of the risk analysis matrix, and make propositions of change about the security pack if the context evolves.
  • In case of security incident, be involved in the Crisis Management Team.

  • Ensure safety vaccination of children:
    • Ensure hygiene before administering of vaccine
    • Use appropriate dose of vaccine in the right route
    • Minimize vaccine wastage
    • Follow-up adverse event following immunization (AEFI) among vaccinated children
    • Collect all wastes and garbage in link with vaccination activities and transport into the right place
  • Cool chain and vaccine management:
    • Evaluate the right quantity of vaccines and consumable per day
    • Ensure that cool chain are maintained
    • Collect data in link with vaccination activities and submit to the nurse or team leader
  • Provide sensitization about immunization:
    • Sensitization about hygiene and prevention infection
    • Explain vaccination importance to mothers and caregivers
    • Explain immunization schedule
    • Ensure that all mothers and caregivers are understand adverse event following Immunization
  • Minor nursing procedures:
    • Administering treatment to the patients as per the doctor’s prescription
    • Minor dressing and wound care procedures for the patients

  • Reporting and attendance to different meetings:
    • Prepare a weekly activities report to submit to MC medical supervisor and Technical Supervisor
