  • The HR Intern will be responsible for working with his/her direct line manager and other members of the HR department in order to complete all outstanding employee and job filing, manage the departmental calendar, provide backend HR documentation & data collation support as well as internal customer service & external customer support services.
Learning Objectives: At the end of the internship period, the intern should have acquired the following skills and knowledge:

Intern Responsibilities
  • Active calendar management for the HR team
  • Provide event management support during clinics, retreats, training sessions & events
  • Prepare Word, Excel and PowerPoint documents as and when needed
  • Complete and mail out regret letters to unsuccessful candidates
  • Coordinate candidate interviews, physicals, and testing under the direction of the Talent Officer
  • Processing of back end HR documentation including but not limited to payment requests, travel requests, etc
  • Carry out any other duties as required.
Requirements
  • A minimum of Bachelor's Degree in a Social Science

  • The Mercy Corps Finance Department is responsible for all financial functions in Abuja, including accounting, payments and banking, payroll, budgeting, financial reporting, and grant financial management and compliance.
  • The Mercy Corps Finance Department ensures compliance with donor regulations as well as Mercy Corps' internal policies and procedures. In its role as a support to the Program Department, the Finance Department provides timely reports and assistance to the Country Director and the Program team to ensure that financial resources are used efficiently and effectively.
General Position Summary
  • Under the supervision of the Senior Finance Officer, the Finance Assistant reconciles various bank accounts at the field, analyzes and reconciles items and provides staff with practical guidance on how to close these items.
  • Systematically follows up long outstanding items and long outstanding open cases for bank reconciliations. Maintains appropriate finance records for the work performed.
Essential Job Functions
  • Follow all Mercy Corps policies, procedures, grant compliance and documentation requirements.
  • Prepare and maintain filling records of all program activities and other related financial documents.
  • Implement and make sure all Mercy Corps Field Finance Manual, procurement, assets
  • Receive requests for funds from teams within program sites for activities, check and process requests.
  • Prepare payment authorizations. Follow-up on timely disbursement of funds to the staff in these regions.
  • Receive, reconcile and submit financial returns from the sub field office to Field office -finance office for account registration purposes.
  • Identify and follow up on outstanding obligations.
  • Receive, check and submit travel advance claims from field based
  • Check and follow up on settlement of personal telephone and sat phone bills for staff.
  • Keeps record of all cash, bank, advances and regularly updates
  • Carries out weekly cash counts and whenever requested by the Senior Finance Officer, Finance Manager, Country Director and official auditors directed by the supervisor.
  • Prints off all payment vouchers and matches with the documents to be filed.
  • Pays or receives authorized bank payments and receipts.
  • Makes sure all required documents are attached; calculations are correct, appropriate approvals and reviews made per the AAM before payment of any cash or bank payments.
  • Enters transactions to the accounting software under the supervision of the Senior Finance Officer whenever required.
  • Ensure compliance with GAAPs, Nigerian, US laws and standard accounting practice.
  • Code all expenditures following the standard chart of accounts, coded budget and record to the accounting software or recording system daily and ensure weekly review and posting.
  • Match invoices/receipts with payment vouchers, GRN and other required documents.
  • Prepare cash, bank and advances reconciliations and submit for review/approval every week and monthly.
  • Make sure all income taxes, withholding taxes, VAT and other taxes are withheld and paid accordingly.
  • Keep all finance documents and reports are properly filed, labeled and stored in a clear and easily accessible manner following FFM.
  • Be adaptable and flexible to take new tasks and new assignments as requested from time to time.
  • Conduct himself/herself both professionally and personally in such a manner as to bring credit to Mercy Corps and to not jeopardize its humanitarian mission

Knowledge and Experience
  • Diploma or advanced certificate or equivalent in Accounting or Finance is required.
  • 2 years' experience in handling cash and accounting.
  • Any Finance experience is preferred.
  • Accounting skills and experience in general ledger, journal entries, payroll, cash/bank mgt.
  • Computer skills in MS Office programs, particularly Excel and accounting software experience.
  • Excellent oral and written English skills
  • Willing to travel to Mercy Corps offices and take temporary assignments.

  • Mercy Corps has been present in Nigeria since 2012, focusing its interventions on adolescent girls’ empowerment, economic development and conflict mitigation. With the insurgency spilling over from the Northeast of Nigeria and causing displacement of millions of individuals, Mercy Corps started its humanitarian response in 2014 to address the rising humanitarian needs.
  • With funding from institutional donors, foundations and private corporations, Mercy Corps continues to provide assistance to meet the basic needs of vulnerable populations in the areas of food security, shelter, water and sanitation, protection, and livelihoods.
  • With the recognition of the protracted crisis in Northeast Nigeria, Mercy Corps’ strategy and expansion plans aim to address the root causes of the crisis and seek to build long term resilience of communities with integrated programs focusing on the recovery of markets and livelihoods, social cohesion and social protection, and youth empowerment with emphasis on adolescent girls and boys.
  • With multiple funding streams from large institutional donors and foundations, Mercy Corps’ programs in Northeast Nigeria continue to scale up and serve communities by transitioning them from humanitarian aid to early recovery programs.
General Position Summary
  • The Program Manager- Hadin Kai is overall responsible for the day-to-day implementation and coordination for the delivery of a program that seeks to address gender considerations in Preventing/Countering Violent Extremism (P/CVE) by working to break down barriers hindering the effective reintegration of girls victimized by violent extremist groups.
  • The proposed program fits into and builds on top of an existing portfolio of programs currently operated by Mercy Corps in Borno State. By leveraging Mercy Corps’ other interventions, this program will deliver a high-impact, comprehensive approach to change the perceptions and stigma surrounding girls victimized by violent extremist groups.
Essential Job Responsibilities Program Management:
  • Oversee program start-up and ongoing program management and administration of the teams across the various field locations.
  • Develop program implementation strategies, including partnership frameworks when needed, beneficiary targeting and distribution process.
  • Provide monitoring systems, including gathering data for case studies. This will include both direct and remote monitoring where access is limited or restricted.
  • Certify program filing system is in place, adheres to internal and donor regulations and filing is regularly maintained.
  • Ensure program implementation is on time, target and budget.
  • Adhere to all MC procurement, logistics and administrative regulations related to programming.
  • Fulfill Mercy Corps Program Management Minimum Standards based on the organization-wide guide.

Knowledge and Experience
  • BA/BS or equivalent in International Studies, Social Science or other relevant field; MA/S preferred.
  • 2-4 years of international relief and development program management experience, preferably in gender program management.
  • Previous experience in operating and managing teams in conflict and insecure environments required.
  • Combination of direct and remote management experience preferred.
  • Demonstrated ability to manage and communicate effectively with an ethnically diverse team of varied work styles.
  • Demonstrated flexibility and creativity in planning and problem solving.
  • Proven ability to learn quickly; lead a program to achieve stated results and objectives.
  • Ability to effectively represent Mercy Corps and its interests to key stakeholders.
  • Experience working with local authorities, national and international NGOs.
  • Effective verbal and written English skills required, along with multi-tasking, organizational and prioritization skills.
  • Internationally recognized qualification in project or program management or a commitment to obtain the qualification in the early months of work.

Living Conditions / Environmental Conditions
  • The position will be based in Maiduguri, Borno State, Nigeria and it requires frequent travel to other field locations in particular within Borno state.
  • Considering the frequent travel from/to different field locations, this position will require flexibility in terms of accommodation and logistics. Housing in the field will be in hotels or guesthouses where available. Security in the field locations require additional vigilance and accessibility will be reassessed continuously.
  • Access to good medical services in the field is limited. Phone communication, internet, electricity and water is available but might be erratic.
  • Given the nature of the response, working hours require flexibility and working through weekends/evenings might be necessary.
