Job Summary
- An Executive Secretary in a PET (Polyethylene Terephthalate) recycling company would typically take on a range of administrative, organizational, and operational support responsibilities to assist senior management or executives in running the business efficiently. Here’s a breakdown of key responsibilities:
Responsibilities
Administrative Support
- Scheduling and Calendar Management: Organize meetings, appointments, and travel arrangements for executives.
- Document Preparation: Prepare reports, memos, and presentations related to company performance, recycling operations, and compliance requirements.
- Data Management: Maintain databases, track business performance metrics (e.g., recycling targets, output volumes), and oversee document storage (digital and physical).
Communication and Liaison:
- Internal Communication: Act as a liaison between executives and department heads (e.g., recycling operations, procurement, and marketing teams).
- External Communication: Manage communications with clients, partners, suppliers, and regulatory bodies (e.g., environmental agencies) regarding recycling operations, permits, and sustainability initiatives.
- Correspondence: Handle incoming and outgoing communications, such as emails, letters, and calls, ensuring executives are kept informed of important updates.
Compliance and Reporting:
- Regulatory Filings: Ensure that the company adheres to environmental and safety regulations by assisting in the preparation of compliance documents.
- Sustainability Reports: Help prepare sustainability reports and documentation to show the company’s impact on the environment, specifically focusing on PET recycling and waste management.
- Permits and Licenses: Keep track of necessary operational permits, environmental certifications, and recycling licenses, and ensure their timely renewal.
Project Coordination:
- Recycling Initiatives: Support the coordination and follow-up on recycling projects, including collaborating with project managers on timelines, resources, and goals.
- Vendor and Supplier Relations: Assist in maintaining relationships with suppliers of recycling materials, equipment, and services to ensure smooth business operations.
- Sustainability Campaigns: Assist in managing sustainability campaigns or initiatives to increase public awareness of recycling and PET reuse.
Research and Analysis:
- Industry Trends: Conduct research on new technologies, policies, and regulations in the recycling and sustainability sectors to keep executives informed.
- Recycling Innovations: Help executives assess innovations in PET recycling, market trends, and competitors' activities to optimize the company's recycling processes.
Confidentiality and Information Management
- Data Security: Ensure that confidential information related to company operations, recycling strategies, and plans is protected and shared only with authorized personnel.
- Contract Management: Maintain records of contracts, agreements, and negotiations with recycling partners, waste collectors, and regulatory bodies.
Financial and Budget Assistance:
- Expense Tracking: Monitor executive expenses, prepare expense reports, and assist with budgeting for recycling projects or sustainability initiatives.
- Invoice Processing: Manage vendor invoicing, ensure timely payment, and assist with keeping records of financial transactions related to recycling contracts and purchases.
Meeting and Event Organization:
- Company Meetings: Organize company-wide meetings, recycling committee sessions, and executive board meetings, and take detailed minutes for future reference.
- Industry Events: Plan and coordinate the company’s participation in industry conferences, recycling forums, and sustainability summits.
Salary
N80,000 - N90,000 monthly.
