  • As an Admin Officer, you will be responsible for ensuring the smooth running of the admin related issues in the organisation. You will be expected to manage the productivity of the office assistant and drivers.
Job Description
  • Provides supplies by identifying needs for reception, switchboard, mailroom, and kitchen; establishing policies, procedures, and work schedules.
  • Provides communication systems by identifying needs; evaluating options; maintaining equipment; approving invoices.
  • Purchases printed materials and forms by obtaining requirements; negotiating price, quality, and delivery; approving invoices.
  • Completes special projects by organizing and coordinating information and requirements; planning, arranging, and meeting schedules; monitoring results.
  • Provides historical reference by developing and utilizing filing and retrieval systems.
  • Improves program and service quality by devising new applications; updating procedures; evaluating system results with users.
  • Achieves financial objectives by anticipating requirements; submitting information for budget preparation; scheduling expenditures; monitoring costs; analyzing variances.
  • Maintains professional and technical knowledge by attending educational workshops; benchmarking professional standards; reviewing professional publications; establishing personal networks.
  • Prepare periodic reports on activities e.g. expenses, projects etc., carried out in the department.
  • Responsible for creating and implementing cost cutting strategies for the unit.
  • Contributes to team effort by accomplishing related results as needed.
Requirements
  • Entry level 0-2 years’ experience as an Administrative Officer, Administrator or similar role
  • Solid knowledge of office procedures
  • Male preferably
  • Must have accounting background (basic accounting knowledge)
  • Experience with office management software like MS Office (MS Excel and MS Word)
  • Strong organization skills with a problem-solving attitude
  • Excellent written and verbal communication skills

  • Manage accounts and meet or exceed targets relating to revenue growth and profit margin
  • Participate in sales presentation to describe account management process and assist in bid process for preferred vendor when requested
  • Identify incremental sales opportunities within a portfolio of customers
  • Build and maintain strong relationships with both internal & external customers at all levels within an organization
  • Ensure client's retention with Finchglow Travels by exceeding client expectations with every interaction
  • Share information with fellow Account Managers and Team Leaders to ensure a united, consistent and professional approach to client account management
  • Ensure all client account information is up to date so that a thorough knowledge and understanding of the account can be made by simply reading the client file
  • Develop clear and effective written proposals for current and prospective customers
  • Analyze the market’s potential and determine the value of existing and prospective customer’s value to the organization
  • Identify advantages and compare Finchglow’s products/services with competitors’
  • Plan and organize personal sales strategy by maximizing company’s Return on Investment

Qualification/Experience
  • First Degree in a related field with a minimum of 2-3 years’ experience of working in a reputable organisation.

  • Make professional and accurate travel arrangements for our clients including air, car, hotel, and ground transportation reservations
  • Converse with customers to determine destination, mode of transportation, travel dates, financial considerations, and accommodations required.
Responsibilities
  • Compute cost of travel and accommodations, using carrier tariff books, and hotel rate books, or quote package tour's costs
  • Follow the company’s procedures, account guidelines and customer service standards in the areas of: making travel arrangements, building Passenger
  • Name Records (PNR's) and profiles
  • Plan, describe, arrange, and sell itinerary tour packages and promotional travel
  • Incentives offered by Finchglow Travels.
  • Provide customer with Finchglow Travel brochures and publications containing travel information, such as local customs, points of interest, or foreign country regulations
  • Maintain awareness and adherence to our clients procedures, programs and policy guidelines
  • Consistent application of Finchglow Travel’s practices and programs
  • Provide industry updates as well as airline promotions to clients
  • Offer and provide travel insurance to customers
  • Engage in the preparation of sales budget weekly.
Qualifications/Experience
  • Bachelor's Degree in a related field with a minimum of 2-4 years’ experience as travel consultant/ticketing and reservation officer in a reputable organisation and from a reputable university.
Knowledge and Skills:
  • Proficiency in the use of Amadeus GDS; with Amadeus certification
  • Ability to relate with internal and external stakeholders at various levels using diplomacy and tact
  • Good Communication skills
  • Attention to detail
  • Result oriented with regards to quality and productivity goals
  • Ability to work flexible hours and shifts as determined by business need and client call volume.
