  • The main responsibility of an Executive assistant is to manage the day-to-day operations of the executive,
  • Enhance executive's effectiveness by providing information management support; representing the executive to others, organizing and maintaining files and records, planning and scheduling meetings and appointments, managing projects and conducting research.
Job Description
  • Act as the point of contact among executives, employees, clients and other external partners
  • Manage information flow in a timely and accurate manner
  • Manage executives' calendars and set up meetings
  • Make travel and accommodation arrangements
  • Rack daily expenses and prepare weekly, monthly or quarterly reports
  • Oversee the performance of other clerical staff
  • Act as an office manager by keeping up with office supply inventory
  • Format information for internal and external communication – memos, emails, presentations, reports
  • Take minutes during meetings
  • Screen and direct phone calls and distribute correspondence
  • Organize and maintain the office filing system
Key Responsibilities
  • Have a detailed understanding of the full Microsoft Office suite
  • Ability to organize a daily workload by priorities and must be able to meet deadlines in a fast-paced quickly changing environment
  • Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
  • Accurately recording minutes from meetings. Greeting visitors and deciding if they should be able to meet with executives
  • Performing office duties that include ordering supplies and managing a records database.
Job Requirement we are looking for a candidate who fulfill these requirements
  • Work experience as an Executive Assistant
  • Personal Assistant or similar role
  • Excellent MS Office knowledge
  • Outstanding organizational and time management skills
  • Familiarity with office gadgets and applications (e.g. e-calendars and copy machines)
  • Excellent verbal and written communications skills
  • Discretion and confidentiality
  • B.Sc/HND in any field

  • Answer phone calls and redirect them when necessary
  • Manage the daily/weekly/monthly agenda and arrange new meetings and appointments
  • Prepare and disseminate correspondence, memos and forms
  • File and update contact information of employees, customers, suppliers and external partners
  • Support and facilitate the completion of regular reports
  • Develop and maintain a filing system
  • Check frequently the levels of office supplies and place appropriate orders
  • Make travel arrangements

Job Requirements we are looking for a candidate who fulfill these requirements
  • Minimum of B.Sc/HND in Secretariat Study or Office Technology Management Proven work experience as a Secretary or Administrative Assistant
  • Familiarity with office organization and optimization techniques
  • High degree of multi-tasking and time management capability
