Initiatives for Development and Empowerment for All (IDEA International) is a non-profit, non-political, non-governmental, and humanitarian organization established in 2020. As the name implies, this organization aims to take proactive initiatives to support and empower women, men, girls, and boys concerning factors that affect their physical, emotional, social, economic, and psychological or psychosocial health and well-being.

Job Title: HR and Admin Officer
Location: Maiduguri, Borno
Employment Type: Contract
Duration: 6 months but renewable
Position Reporting to: Country Director, IDEA International

Summary
- IDEA International Nigeria is seeking a committed and experienced candidate for the position of HR and Admin. Officer.
- The HR and Admin Officer will develop and implement human resources strategies, manage employee relations, oversee talent acquisition and development, and ensure compliance with labor laws and company policies. He/she will also guide and collaborate with senior management to align HR practices with organizational goals and objectives.
Job Brief
- We are looking to hire a HR and Admin Officer who will head and lead our human resources team and ensure that all human resources-related activities are carried out smoothly and effectively. As an HR and Admin Officer, you will work closely with the senior management to develop policies and strategies related to human resources. You will also need to ensure the successful implementation of the policies and strategies throughout the organization. You will be responsible to ensure that all HR needs of the organization are aligned with the organization’s goals and objectives.
- He/she must have deep knowledge of HR-related market trends and laws and able guide the board and senior management on all HR and admin. related subjects. He/she should display strong leadership qualities on a number of fronts, including demonstrating a high level of professional ethics, nurturing team talent, and championing our corporate initiatives.
Specific Roles and Responsibilities
- Develop plans and policies for matters such as employee compensation, benefits, health, and safety, etc.
- Develop and implement strategies for performance evaluation, staffing, training, and development, etc.
- Supervise HR personnel and provide expert guidance.
- Oversee all the HR activities, initiatives, systems, and tactics.
- Communicate with external services providers such as housing, transport, insurance, etc.
- Strategize programs and policies to enhance employee growth and satisfaction.
- Develop policies to curb absenteeism and employee turnover.
- Assist departmental heads in setting team goals and aligning them with the organizational objectives.
- Lead and manage all administrative tasks like compensation management, payroll processing, etc.
- Lead in creating and implementing training plans, conducting workshops, and arranging logistical support for these activities.
- Manage the exit process for departing employees, including full and final settlements, exit interviews, and documentation.
- Maintain records of office procurements, including equipment, vehicles, and other assets.
- Conduct monthly audits of office expenses and supplies, taking measures to minimize extra costs.
- Assist the HR team in organizing employee engagement initiatives, such as team outings, office parties, and social gatherings.
- Coordinate all travel-related activities for local and international official visits.
- Monitor the condition of office infrastructure, including buildings, parking facilities, air conditioning, electricity, water, and other office utilities.
- Oversee all recruitment efforts, Publish and remove job ads, ensure a seamless onboarding experience for selected candidates.
- Act as a point of contact for employee relations and communicate with labor unions.
- Ensure compliance with all the legal aspects applicable.
- Maintain and coordinate all activities within the HR department.
- Ensure compliance with all internal policies and standards.
- Ensure grievance redressal and invoke disciplinary actions when required.
- Analyze data and report to the board and senior managers using HR Metrics.
- Participate in executive, management, and company staff meetings and attend other meetings and seminars.
Requirements
- B.A Degree in Human Resources Management from an institution of repute or its equivalent
- Minimum 2-3 years relevant experience in HR or related field
- Sound knowledge of human resources and international and local labor law to develop HR systems, policies and procedures.
- Demonstrated ability to establish key relationships with key stakeholders, heads of departments government agencies and state authorities, including interfacing with international audiences.
- Ability to work against tight deadlines and under unfavorable and stressful conditions.
- Prior experience in monitoring HR compliance and implementing organizational policies.
- Proficiency with HRMS tools such as Keka.
- Familiarity with office systems and administrative processes such as visa processing and office licenses.
- Strong networking, teamwork, problem-solving, analytical, and time management skills.
- Self-motivated and adaptable to high-pressure work environments
- Strong proficiency in MS Office applications, particularly Excel and Word.
- Exceptional communication, negotiation and leadership skills, with strong/fluent written and oral communication.
- Additional understanding and knowledge of human behavior will be appreciated.
Senior Coordination, Representation and Advocacy:
- Represent IDEA International in all relevant coordination meetings and with a range of stakeholders, partners, donor community and government agencies as requested and as required.
- Advocate as necessary with relevant authorities, donors, and other stakeholders in support of the organization.
Human Resources Management:
- Contribute in recruiting/Selecting and orienting new HR staff if need be.
- Support, coach and supervise other HR staff to build capacity as will be required.
- Develop support strategies for staff, foster team building.
- Provide supportive and constructive feedback, and conduct regular performance appraisals of other finance staff if any.
Security and Conduct:
- Ensure compliance with security protocols and policies
- Consider security implications in HR and Administration work
- Foster a safe and supportive working environment for all staff/volunteers/partners, etc.
- Contribute to the positive image and overall credibility of the organization, notably through adherence to the Code of Conduct and Ethics, including compliance with anti-harassment, safeguarding and PSEA policies as mentioned below.
Languages:
- English: Fluent (oral and written).
- Being able to speak and write local languages: Hausa, Kanuri, etc will be an added advantage.
Prevention of Sexual Exploitation and Abuse:
- Actively promote PSEA (Prevention of Sexual Exploitation and Abuse) standards within IDEA International and amongst beneficiaries served by IDEA International.
Code of Conduct:
- As applicable to this position, an individual must promote and encourage a culture of compliance and ethics throughout the organization and maintain a clear understanding of IDEA International’ and donor compliance and ethics standards and adheres to those standards.
- If this is a supervisory position, one must set an example of ethical behaviour through one’s own conduct and oversight of the work of others; ensure that those who report to you have sufficient knowledge and resources to follow the standards outlined in the Code of Conduct & Ethics; monitor compliance of the people you supervise; enforce the Code of Conduct & Ethics and IDEA International’s policies, including the Safeguarding Policy and the Protection from Harassment, Bullying and Sexual Misconduct in the Workplace Policy, consistently and fairly; support employees who in good faith raise questions or concerns.
