Description

  • We are seeking a diligent and highly organized Front Desk and Administrative Officer to join their team. In this pivotal role, you will provide essential administrative support to ensure the smooth and efficient operation of the hospital.

Responsibilities

  • Manage the medical office operations and ensuring the reception area is clean, organised and present a professional image.
  • Maintain a positive, emphatic and professional attitude towards customers and staff of the hospital.
  • Keep up-to-date records of customers information, interactions, complaints, process customer accounts, and file documents ensuring confidentiaity and security of sensitive information.
  • Address inquiries, actively seek and escalate feedbacks from clients, to ensure timely and courteous responses.
  • Establish and build sustainable relationships and trust with clients accounts through open and interactive communication.
  • Coordinate and schedule travel arrangements for staff when necessary.
  • Provide administrative support to hospital staff, manage records, adhering with hospital policies and procedures.
  • Having basic understanding of hospital laws, and regulations to assist clients with inquiries.
  • Handle phone calls, emails, and correspondence with professionalism and promptness maintaining effective communication.
  • Direct visitors, book medical appointments, manage schedules, and provide appropraite solutions, and alternatives within the time limits.
  • Assist in planning and organizing hospital events and meetings when necessary.

Requirements

  • Proven work experience as a Front Desk Officer, Administrative Officer, or similar role
  • Solid knowledge of office procedures, with experience working in a hospital.
  • Attention to detail and accuracy in handling administrative tasks.
  • Ability to maintain confidentiality and handle sensitive information with integrity.
  • Strong interpersonal skills and customer-oriented approach.
  • Proficient in the use of office management software like MS Office (MS Excel and MS Word)
  • Strong organisational skills and multi-tasking abilities.
  • Excellent written and verbal communication skills.
