Administrative Assistant at International Institute of Tropical Agriculture (IITA)

We are recruiting to fill the position below:



Job Title: Administrative Assistant

Location: Ibadan, Oyo
Employment Type: Contract (2 year renewable contract)

Duties

  • Assist the scientists and team members with day-to-day administrative processes and functions in concert with East Africa banana program Administrator.
  • Facilitate organization of project meetings/events and travel by assisting with flight and hotel booking, travel authorization, visa requests, travel advances and expense claims.
  • Liaise with PDAU and Finance Directorate and follow-up on timely submission of donor & collaborator reports and payments as scheduled on relevant agreements.
  • Assist with compilation of project and related reports and uploading on designated reporting platforms with support from plantain breeding scientists.
  • Manage inventories of program assets and supplies and process FMS work order requests
  • Raise and process purchase requisition and follow up with Supply chain and finance to ensure efficient delivery.
  • Maintain project staff records (Staff, consultants, students and interns) and assist with processing contracts and payments.
  • Perform all other job-related duties that may be assigned by the program scientists or other senior team members.

Qualifications

  • B.Sc / HND in Business Administration, Public Administration or related field with a minimum of three (3) years experience performing a similar role in a well-structured environment.

Competencies:
The ideal candidate must:

  • Have excellent writing and oral communication skills in English
  • Be well organized, able to multitask and work under pressure to meet deadlines with keen attention to detail.
  • Have a positive attitude, strong team spirit and the ability to work well in a diverse team.
  • Be proficient in MS-Office (Word, Excel, PowerPoint, Outlook) with demonstrated experience with setting up and providing support for online meetings using Zoom or MS Teams.
