Administrative and Finance Assistant at the International Institute of Tropical Agriculture

We are recruiting to fill the position below:

 

Job Title: Administrative and Finance Assistant

Location: Ibadan, Oyo
Employment Type: Contract
Duration: 1-year renewable

Duties

  • Assist in processing travel claims, raise travel requests, monitor travel expenses/liquidation, prepare voucher and ensure storage.
  • Retrieve after each trip Travel details from staff/from the Travel Unit for proper review.
  • Handle and manage all WorldFish Nigeria projects files naming convention and migration to SharePoint document library.
  • Raise partner letter of agreements in the One Corporate System (OCS) and ensure archiving of project official documents.
  • Arrange logistics support to staff, consultants and visitors including transportation and accommodation.
  • Assist in organizing conferences, workshops, training courses, field days and other such activities related to the work plan and project office.
  • Prepare advance management and follow-up for refund.
  • Maintain various registers such as asset, tender, cheque issue, file movement and manages consultants' records.
  • Review, update the monthly procurement reports and send monthly reports to the accountant.
  • Participate in the monthly inter-departmental reconciliation of financial records.
  • Process expense requests for management’s approval.
  • Receive, process, and file paperwork, e.g., invoices, expenses, requests for payment.
  • Check and verify calculations to make sure they’re correct and keep track of figures by working with spreadsheets.
  • Manage office inventory/assets register including regular updates, disbursements and disposals and monitor office supplies.
  • Perform any other job-related duties as may be assigned by the supervisor.

Requirements

  • B.Sc / HND in Accounting, Finance or any other related field with a minimum of three (3) years’ experience performing a similar role in a well-structured environment.
  • Student membership of ICAN certificate and knowledge of One Corporate System (unit4 ERP) is an added advantage.
