Job Title: Executive Assistant

Job Description

  • The Executive Assistant will provide high-quality administrative support to the CEO by handling information requests, scheduling meetings, preparing reports, and ensuring smooth operation of the CEO’s office.
  • This role requires the ability to manage both routine tasks and complex projects efficiently.

Job Responsibilities
Strategic Administrative Support:

  • Manage and optimize the CEO’s schedule, prioritizing appointments and coordinating adjustments as needed.
  • Ensure timely reminders and effective time management strategies for high-priority engagements.
  • Ensure preparation and follow-up for all meetings, including agenda creation, minutes recording, and action plan tracking.
  • Provide personal support to the Executive Director as required, ensuring work-life balance and efficiency.

Communication & Stakeholder Management:

  • Handle correspondence, including calls, emails, and presentations, professionally and efficiently.
  • Act as the primary liaison between the CEO and stakeholders, ensuring smooth & professional information flow.

Research and Reporting:

  • Conduct in-depth research on topics as directed, delivering detailed, accurate reports and actionable insights.
  • Assist in drafting, editing, and finalizing presentations and other key documents.

Meeting and Event Coordination:

  • Organize and coordinate internal and external meetings, ensuring effective preparation and follow-up.
  • Plan and execute corporate events, meetings, and conferences, ensuring all aspects are cost-efficient and aligned with company objectives.
  • Oversee travel logistics, including accommodations and expense reconciliation.

Project Management:

  • Oversee cross-functional projects, ensuring alignment with the Executive Director’s priorities.
  • Track project milestones, deadlines, and deliverables across subsidiaries

Subsidiary Support Coordination:

  • Liaise with subsidiary heads to gather performance updates, consolidate reports, and prepare briefings for the Executive Director.
  • Ensure follow-through on subsidiary-specific initiatives and deadlines.

Confidentiality and Records Management:

  • Maintain confidentiality while handling sensitive information with discretion.
  • Organize and manage filing systems, ensuring easy access to records and compliance with company policies.

Process Improvement:

  • Identify and implement initiatives to enhance efficiency in administrative operations.
  • Participate in ongoing training and development to improve skills and processes.

Qualifications

  • Bachelor's degree in a relevant field.
  • Minimum of 3 years of executive support/administrative experience, preferably in a corporate setting.
  • Proficiency in Microsoft Office suite and other relevant software.
  • Ability to handle multiple tasks simultaneously and prioritize effectively in a fast-paced environment.
  • Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.
  • Excellent organizational, time management, and problem-solving skills.
  • Strong communication skills, both verbal and written, with the ability to interact effectively with individuals at all levels.
  • Resident on Lagos Island axis, particularly VI/Lekki axis.
