We are recruiting to fill the position below:

 

Job Title: Document / Tender Officer

Location: Trans Amadi - Port Harcourt - Rivers
Reports to: Operation Director

Job Scope

  • The Document/Tender Officer is responsible for managing, preparing, and coordinating tender submissions, documentation, and compliance requirements on platforms such as NipeX, NAPIMS, and other regulatory portals.
  • The officer ensures that all tender and documentation processes align with the company's objectives and meet industry standards.

Responsibilities
Tender Preparation and Submission:

  • Prepare and compile technical and commercial bid documents in compliance with tender requirements.
  • Coordinate with internal teams to gather required information and ensure accurate documentation.
  • Manage tender submission timelines and ensure timely delivery of bid packages.

Documentation Management:

  • Maintain up-to-date records of company documentation, certifications, and statutory requirements on platforms such as NipeX and NAPIMS.
  • Ensure compliance with regulatory standards and client requirements.
  • Organize and archive all tender-related documents for easy retrieval.

Regulatory Compliance:

  • Monitor updates on NipeX, NAPIMS, and other regulatory platforms to ensure company compliance with tender guidelines and requirements.
  • Facilitate the renewal and submission of statutory documents, including DPR permits, insurance certificates, and tax clearance.

Stakeholder Communication:

  • Liaise with clients, regulatory bodies, and internal departments to address queries related to tenders and documentation.
  • Provide updates to management on the status of ongoing tenders and document submissions.

Process Optimization:

  • Identify opportunities for streamlining tender preparation and submission processes.
  • Develop templates, checklists, and guides to improve efficiency and consistency in documentation.

Quality Assurance:

  • Review all tender documents for accuracy, completeness, and adherence to client requirements.
  • Ensure the company's branding and presentation standards are upheld in all submissions.

  • Strong organizational and multitasking abilities.
  • Strong time management skills and the ability to meet tight deadlines.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Analytical and problem-solving skills.
  • Exceptional attention to detail and accuracy in documentation.
  • Proficiency in using regulatory platforms such as NipeX and NAPIMS.
  • Excellent written and verbal communication skills.

Required Qualifications and Experience

  • Bachelor's Degree in Business Administration, Engineering, or a related field.
  • Knowledge of procurement and tendering processes in the oil and gas sector is essential.
  • Minimum of 3 to 5 years of experience in tender preparation, documentation management, or related roles in the oil and gas industry.

Salary and Benefits

  • N200,000 - N250,000 / Month.
  • HMO, Pension, and additional benefits to be discussed during the interview process.
