Job Title: Administration Manager

Location: Epe, Lagos
Employment Type: Full-time

Job Summary

  • The Administration Manager will be charged with the responsibility of overseeing the administrative operations of the Board Secretariat.
  • He/she will also facilitate the achievement of the organization’s strategic and operational objectives by ensuring the provision of timely and qualitative administrative and support services as well as involvement in all school’s events.
  • He/she will ensure an efficient (cost, quality and time wise) procurement process through the design and implementation of leading practice procurement policies, processes and procedures.
  • Responsible for evaluating suppliers, products, and services, negotiating contracts, and ensuring that approved purchases are cost-efficient and of high quality.

Principal Duties and Responsibilities
Procurement Functions:

  • Oversee the maintenance of an accurate and up-to-date database of pre-qualified vendors
  • Oversee the procurement process as well as the contracting and tendering processes for all categories of goods/services
  • Participate in the testing and inspection of stock/goods/equipment received; and advice on suitability/quality of goods based on established standards
  • Ensure accurate records and documentation of all procurement-related transactions
  • He/she will work in collaboration with the VPs, Catering and Facilities departments.
  • This role is not that of a decision-maker, but the post-holder will ensure implementation of the decision.
  • Ensure that no request leaves his/her desk without approval from the HOF

Operational:

  • Coordinate all general administration functions and ensure the provision of efficient and effective services to support core operations
  • Quality assures all areas of administration, assessing areas for improvement and ensuring the integrity of all areas of school operation whilst ensuring that successful outcomes are delivered in operation and project areas
  • Oversee the activities of the procurement function ensuring the School’s interest is protected and that quality items are provided at reasonable prices;
  • Identification, monitoring, and purchase of fixed assets
  • Management of contract administration
  • Involvement in the price index
  • Handling of travel itinerary (booking of flight tickets and hotel reservations).
  • Ensure transparent and objective vendor selection and evaluation process, including maintenance of a comprehensive supplier/vendor database
  • Monitor the activities of vendors to ensure adherence to Service Level Agreements (SLAs)

General:

  • Continually review and assess the effectiveness and efficiency of the department’s policies, procedures, and processes and identify improvement opportunities
  • Coordinate periodic internal customer satisfaction surveys to identify service improvement areas across the school
  • Assigns responsibilities to subordinates and monitor them to ensure timely delivery of high-quality results
  • Prepare and submit periodic activity/management reports to the Head of Finance on the activities of the department’s general administrative functions; progress and challenges
  • Support the HOF in all aspects of procurement and in particular employing analytical and auditing skills to constructively evaluate and coordinate the improvement of both general and specific administration tasks and functions
  • Manage the human and material resources of the department for optimal performance and enhanced output.
  • Review and authorize key expenditures/transactions of the department in line with the approved departmental budget and the School’s manual of authority
  • Provide overall guidance, leadership support, and direction to subordinates in the procurement department.
  • Perform any other duties as assigned by the line manager.

Qualification, Experience, Skills and Competencies

  • First Degree or its equivalent in any discipline, preferably in the Social Sciences
  • Minimum of ten (10) years relevant experience of which at least four (4) must have been at a managerial level.

Job Title: Male & Female Resident Medical Officer

Location: Lagos
Employment Type: Full-time

Job Summary

  • The applicant should have the ability to diagnose and treat medical conditions, disorders, and diseases through the application of specialist medical skills and knowledge.
  • Manage the school clinic and ensure policies and procedures are followed, and standards are maintained.

Key Responsibilities

  • Undertake patient consultations and physical examinations
  • Conduct regular patient check-ups, diagnose any ailments, monitor and administer medication, assess and plan treatment requirements and write reports and maintain records.
  • Promote whole school health education by conducting health talks and refresher training on First Aid/CPR/AED to certified members of staff
  • Conduct such special medical examinations on students as may be indicated or required after referrals by the classroom teacher, the school nurse, or the house parent.
  • Examine and/or approve annually all students participating in inter-house athletic activities and sea school before participation
  • Examine members of staff and new hires as required and provide report on their suitability for employment or continued employment
  • Work with the VP (Pastoral) on medical issues and public health information programs and procedures
  • Serve as a liaison with student’s private physicians as required
  • Assist in the development and implementation of medical practices and procedures in the School
  • Coordinate and manage testing of the school water system to ascertain quality and advise the school appropriately
  • Refer patients to specialists and consultants after giving first aid treatment.

  • MBBS Degree from an accredited school and licensed to practice in Nigeria
  • Higher Degree e.g. MPH, MHA will be an added advantage

  • Oversight of Website including design and generation of content.
  • Ensuring that website content is up to date and appeals to potential parents and students.

  • Examinations and admissions information: Updating the website with all examinations and admissions information.

Social Media:

  • Management of all the school’s social media handles (Facebook, Instagram, Twitter and LinkedIn).

Marketing:
Working in collaboration with the Director of Admissions and Examination to:

  • Market the school through various channels with the objective of achieving annual student intake projections. These channels will include:
  • Present to potential parents and students at identified feeder schools

  • Identification of target parent clusters and marketing the school accordingly

Job Title: Head, Medical Services

Location: Epe, Lagos

Job Summary

  • Ensure that parents and guardians are well informed about the School’s boarding policies and all aspects of the care and welfare of students

Principal Duties & Responsibility

  • Deploy, train and develop all boarding staff to make the most effective use of their skills, expertise and experience and to ensure that all boarding staff have a clear understanding of their roles, duties and responsibilities
  • Oversee, in conjunction with the Deputy Head of Boarding, the training of Boarding Prefects to ensure consistency across the boarding houses
  • Be familiar with, and develop further, a working knowledge of relevant legislation including the Children Act, Child Protection Act, Human Rights Act, Health & Safety at Work Act and the legal rights of children
  • Ensuring a visible and active presence in the boarding houses in order to develop a relationship with all boarders
  • Keep the Vice Principal (Pastoral/Student Affairs) and other appropriate staff, informed of pastoral issues relating to any student in the boarding houses and manage these where appropriate
  • Inform and consult with the Vice Principal (Pastoral/Student Affairs) serious cases of student breaches of discipline or good conduct, and maintain a record of punishments awarded
  • Ensure that medical matters are dealt with appropriately in line with Atlantic Hall’s School Medical Protocol and Practices, liaising with the School Clinic, the Sports Department and the pupils’ parents and guardians as appropriate
  • Ensure that all appropriate registration/attendance/absence records are kept for all boarders including signing in and out of the hostels, clear whereabouts of boarders during weekends
  • In conjunction with the boarding team arrange, organize and participate in the programme of activities, trips, social events and weekends activities which play a key role in ensuring a very special boarding experience for the students
  • Liaise with the housekeeper, laundry supervisor in all matters relating to the maintenance of the hostels and students uniforms
  • Presents the interest and needs of the boarding houses to the Core Leadership Team (CLT), through the Vice Principal (Pastoral/Student Affairs), and play a leading advisory role in the long-term development of boarding houses

Education and Work Experience:
