The Mines Advisory Group (MAG) is a global humanitarian and advocacy organisation that finds, removes and destroys landmines, cluster munitions and unexploded bombs from places affected by conflict.

We are recruiting to fill the position below:

 

 

Job Title: Support Service Assistant

Locations: Abuja and Borno

Overview of Role

  • The Support Service Assistant will be responsible for providing general administrative, Procurements and logistics support to the MAG Nigeria programme.

Responsibilities

  • Collection of quotation and preparing Procurement documents.
  • Purchasing Office and Apartments Basic items.
  • Prepare Vehicle movement and Airport pick-ups and drop off schedules.
  • Coordinate the drivers.
  • Submitting documents to Immigration office and retrieving them back.
  • Handle the logistics of hotel reservation and flight bookings.
  • Assist in updating Asset register.
  • Follow up on the internet providers to ensure it is always up and running.
  • Supervising and overseeing the cleaning activities in both the office and Apartments.
  • Scanning and filling soft copies of all procurement and Administrative paper work.
  • Organise equipment as and when required.
  • Overseeing the repairs and running of the apartments.
  • Support the team in any other required Administrative, Procurement and Logistics tasks.
  • Organising and over seeing any necessary maintenance in the office and Apartment.
  • Assist with the logistics for organising trainings and workshop.
  • Submitting documents to Ministry of Budget and National Planning.
  • Maintain logistics records and file paperwork including Purchase request forms, purchase orders, goods receive notes, receipts etc.
  • Collecting of all monthly invoices for retained vendors and ensuring finance receives the payment documents.
  • Assist in the logistics for receiving RE materials.

Qualifications

  • Education level Bachelor's Degree or higher

Essential Requirements:

  • Previous experience in an administration, Procurement and Logistic role.
  • Excellent administrative skills including ability to use MS Word and Excel
  • Ability to take initiative and work with little or no supervision.
  • Previous experience of procurement including identifying suppliers, conducting market surveys etc
  • Previous experience completing logistics paperwork and record keeping
