Job Title: Finance and Administrative Officer

Core Functions / Responsibilities
- Preparation of budgets, monitoring all project and operational expenditure in line with the approved budget and work plan. Preparing weekly and monthly budget reports.
- Monitor and manage the process flow for funds requisition, ensuring timely disbursement of approved funds and that there are supporting documents for all transactions in line with the organization’s financial policies, follow up on all requests; accurate recording and filing of all financial documents.
- Perform monthly bank reconciliations, interface primarily with the bank on all project account matters, review accounting transactions to ensure compliance with relevant policies and procedures.
- Report to and work closely with the LEAP’s finance manager in providing finance, admin and support during all phases of a project. Monitor and analyze all financial, administrative / procurement aspects of the project, review relevant documents and reports; identify problems and issues and notify the relevant persons with proposed solutions; work with relevant partners and track follow up actions.
- Perform due diligence checks on all vendors, contractors and local partners in various locations, ensuring payment within established local banking procedures. Maintain accurate records of financial status of recruitments, sub-contracts and payments. This involves also monitoring their performance and advising the project manager.
- Conduct inventory management of all shipments, procurement items and supplies, coordinate all travel activities in the programme -local and international
- Ensure the overall coordination of finance and administrative issues, carry out actual to budgeted variance analysis on a weekly, monthly, quarterly and annual basis; Prepare and submit timely weekly, monthly, quarterly and annual financial reports.
- Ensure proper documentation of all financial transactions both project and operations in line with best practices, ensure the correct posting and cost allocations for all transactions.
- Work to ensure Compliance with all regulatory requirements within LIRS, FIRS, SCMUL. Compute and process tax payment and returns and LEAP’s financial policies.
- Perform other tasks as assigned by your supervisor.
Requirements
The required candidate should possess the following:
- Bachelor’s Degree in Finance, Accounting
- 2 - 3 years experience in financial and administrative management and procurement in a private or social development organization.
- Holds or studying towards a professional Accounting/Finance Qualification such as ICAN/ACCA is an added advantage.
- Demonstrate proficiency in the use of MS Excel, Word, PowerPoint and MS project
- Familiarity with Accounting softwares and working with ERP systems and applications.

Public Relations and Marketing:

Digital Marketing:

Branding and Event Management:
- Oversee and manage the activities relating to the production and distribution ofbranding materials for LEAP and all its programmes/events e.g banners, T-shirts, flyers etc.
- Monitor and ensure adherence to brand ideals in all external and internal communications and events.
- Manage the production of corporate materials used in stakeholder engagement.
- Responsible for leading the department’s strategic and operational tasks.
- Perform other organizational projects and tasks assigned by your supervisor.
Corporate Publications:
- Manage internal and external communications of the organization ensuring that the message is consistent and engaging. Tailor messages to increase awareness and to maximise the potential of various channels.
- Ensure the regular and timely production and distribution of LEAP’s biannual newsletter, annual reports and other corporate publications related to the organization or its various programme activities.
Partnerships & Stakeholder Management:
- Report to and work closely with the Executive Director and the Board of Directors in the creation and implementation of the organization's communications, public relations, media and branding strategy to strengthen LEAP’s reputation, visibility and influence.
- Plan and implement engagement plans for funders and partners; identify different stakeholders and beneficiaries groups and determine the best way to communicate effectively with them.
- Develop and maintain relationships with LEAP’s stakeholders, conduct annual stakeholder satisfaction surveys and reviews that feed into the programme and organizational improvements, as well as consult with programmes departments on stakeholder engagement and management.
- Management of the organization’s databases.
Alumni Management:
- Lead alumni engagement and work hand in hand with the LEAP Alumni executive committee in the management of the LEAP Africa Alumni Network ( LAAN)-ensuring that members are constantly and actively engaged.
- Oversee all activities of the Alumni network ensuring that they are in line with LEAP’s mission and vision and they effectively project the LEAP brand.
- Support the career goals of LAAN and continue to create exceptional value for the network.
- Lead sustainability efforts of LAAN in partnership with LEAP Alumni executive committee and Advisory committee.
- Website Maintenance and Content management
Requirements
The required Candidate should possess the following:
- Bachelor's Degree in a relevant field.

About the Project
- The Nigeria Youth Futures Funds (NYFF) Project is aimed at strengthening and enabling youth leadership and activism in Nigeria through outcomes-driven policy engagements and inclusive resourcing that help youth shape the future long-term development plans of the country.
Core Duties and Responsibilities
Grant Management:
- Coordinate, in collaboration with the Project lead and other relevant stakeholders all activities relating to the preparation, management, research and review of all grants applications by programme beneficiaries.
- Establish processes and procedures for the negotiation and award of contracts including grant pre-awards and post-awards actions to meet relevant requirements; Ensure compliance with appropriate federal, state, and local regulations.
- Maintain accurate documentation and records of all proposals and funding activities; effectively manage a large database of beneficiaries; prepare special reports and analyses of the data gathered for this project.
- Manage all grant related communication, enquiries, queries on the grant giving and reporting process.
Monitoring and Evaluation:

Job Title: Project Lead - Nigeria Youth Futures Funds Project

- Organize and ensure the successful implementation of the Nigeria Youth Futures Fund Programme; Plan, manage and deliver the Nigeria Youth Futures Funds (NYFF) project in accordance with the set timelines and requirements.
- Coordinate the implementation of a bi - annual visioning retreats and state-level vision workshops for various cohorts of the programme towards facilitating and driving evidence based policy engagement. Plan, implement and facilitate capacity building and strengthening courses/workshops for Nigerian youth leaders and organizations; Lead the process of curriculum design and development for the capacity building and strengthening courses.

Leadership and Strategy:
- Report to and work closely with the Executive Director and LEAP Board of Directors in developing and implementing organizational Programme strategy. Lead the programmatic direction of the organization working with the leadership team.

- Support the leadership team in Organisational Capacity Development.
