Job Title: Logistics Assistant
Locations: Calabar, Cross River & Bauchi
Employment Type: Full-time
Purpose
- We are seeking brilliant, hard-working, and dedicated Logistics Assistants for a 5-year USAID-funded WASH project in Nigeria in our Calabar and Bauchi offices.
- Through the Operations Manager, the incumbents will provide logistics support to implement the project in 2 landscapes and to help ensure that all WCS guidelines and donor policies (USAID and EU) are closely followed. specifically with the logical project framework.
- They will support procurement activities, transport and fleet of vehicles and assets allocated to the project.
- Through the Operations Manager’s supervision, they will support assets management, warehousing, infrastructure maintenance and project management, customs clearance and dispatch of goods, Information and Communications Technology, health and safety monitoring and situational awareness.
- The incumbents will work under the direct supervision of the Operations Manager.
Main Duties & Responsibilities
In this assignment, the incumbents will undertake the following duties and responsibilities:
- Directly oversee the work of WCS drivers in Calabar and Bauchi, including daily allocation of vehicles, movement plan for staff, a weekly review of vehicle log books, generating monthly fuel usage reports(including reconciliation with gas stations), and coordinating maintenance for all WCS vehicles.
- Provide procurement support for the running of the offices and sites as may be required. Assist with administrative work to ensure the supplies and stocks are correctly documented using standard inventory formats.
- Ensure accurate inventory control database systems, record maintenance using specific/standard formats, and provide the information to the Operations Manager.
- Submit regular reports for a continuous overview of supply chain operations, including volumes, values, incoming goods, warehouse stocks and distribution.
- Participate in regular physical inventory counts and submits subsequent inventory reports.
- Prepare and share all payment documents with finance for payment.
- Book air tickets, hotels and car hire services upon receipt of approved travel authorization forms per WCS and donor policy.
- Make arrangements for meeting venues and catering services per WCS and donor policies.
- Directly manage all assets and inventory, including issuance to staff, transfers, receipt back in store and maintenance for broken assets/ equipment using standard forms.
- Coordinate with WCS Country/Field office and vendors and arrange to collect and deliver WCS-related equipment and logistics from warehouse to field.
- Undertake any other reasonable duties assigned by the supervisor.
Qualification & Experience
- Candidates must have completed Secondary Education. A University Degree in the relevant field is an asset.
- Must have at least three years of professional experience in supply chain management, inventory management and related fields with reputed national/international organizations.
- Proven experience in supporting the implementation of technical cooperation projects and working effectively with government bodies and other social partners in charge of policy-making and with development partners would be an asset. Previous working experience on USAID and EU projects with similar functions would be an asset.
- Excellent command of English is compulsory, and Hausa for Bauchi applicants.
Competencies:
- Knowledge of programme logistics planning, procurement and a thorough understanding of various policies and procedures.
- Ability to work with MS Word, Excel, PowerPoint, spreadsheets, web-browser, and other computer software packages required.
- Thorough knowledge of in-house procedures for preparing documents and administrative forms and for creating and maintaining filing systems.
- Ability to organize own work and to work independently as well as work in a team.
- Ability to work under pressure and to meet deadlines.
- Must demonstrate responsible behaviour and attention to detail.
- Ability to work in a multicultural environment and not demonstrate gender-discriminatory behaviour and attitudes.
- Ability to prepare preliminary reports and draft correspondence.
- Good communication skills. Both orally and in writing, and the ability to communicate with people to build good working relationships.
