  • The International Rescue Committee is seeking to provide a learning opportunity to two young passionate persons for a six months internship position in our Adamawa Office.
Main Purpose of Job
  • Helping the HR department in Filing, Scanning, Posting of Advert and photocopying of Documents.
Main Duties Administration:
  • Compiling Health Insurance and Life Insurance Documents from the field sites for further action
  • Filing all the NHF to the respective files;
  • Transferring all the ex-staff files to the ex-staff cabinet;
  • Work with the Admin /HR Assistants to update files in real time
  • Scanning of the approved documents for relevant documentation ;
  • Tracking and Filing all timesheets according to the field sides;
  • Contract tracking and follow up with appropriate Managers
  • Photocopying of all the approved payrolls and filing them according to the field sides;
  • Labelling of all the files accordingly and cabinets;
  • Travel tracking & documentation of payment documents
  • Assist in imputing staff information in the Payroll software
Functional Skills and Knowledge
  • B.Sc/B.A or HND in, Public Administration , Humanities or Human Resource
  • Good computer skills (Excel and word).
  • Fluent written and spoken English.
  • Excellent interpersonal, organizational and time management skills
  • Good knowledge of regulations affecting payroll as national service insurance, taxation etc.
Recruitment:
  • Posting the job vacancies to relevant Notices Board in Yola/Mubi ;
  • Receiving application and filing applications;
  • Follow up of Approval of recruitment Request from the Relevant Approving Bodies
  • Long Listing;
  • Call the candidates for the interview as instructed by the recruiter;
  • Helping with the collection of document for the selected staff;
  • Create files for new staff.

  • The Procurement Assistant is responsible for facilitating the general aspects of IRC procurement operation. Working closely with Program, Administration, Finance and HR. The Procurement Assistant is instrumental in supporting program activities through his/her services.
Responsibilities Specific responsibilities include:
  • Ensuring that procurement is carried out in accordance to IRC and donor-specific policies
  • Coordination with finance, Admin and program department to ensure integrated internal controls, timely payment of vendors and full auditable support documents.
  • Ensuring that a transparent and responsive procurement process is implemented and maintained
  • Routine communication, coordination and planning with the relevant requesting staff / programs regarding the order and delivery of supplies.
  • Establishment and maintenance of ethical professional working relationship with supplies
  • Maintain supplier information regularly purchased items, and be informed of current local market conditions.
  • Support and provide the appropriate training for procurement and program staff as required
  • Manage procurement intern and procurement clerk.
  • Advance the logistics manager of procurement-specific issues or improvements.
  • Any other duties or tasked delegated by supply chain officer or your supervisor.
Expected Deliverables:
  • Generate and /or maintain an IRC Pre-qualified vendor database.
  • Generate and / or maintain comprehensive price list for good, services and equipment purchased by IRC
Qualifications
  • Bachelor degree in a relevant fields ( Bus. admin, Finance ,Supply Chain)
  • Supply chain / logistics qualifications is an added advantage

  • Competent use of PC especially spreadsheets.

  • The Finance Officer report to the Finance Manager Borno, He/she is the focal person for finance operations support in Maiduguri - Borno and is responsible for preparing financial statements, maintaining cash controls.
  • The Finance Officer must work within the Financial Management Act of IRC, Municipal policies, Procedures and in compliance with all National Acts and Legislation.
Responsibilities
  • Managing all aspects of day to day operations of accounting department in field office.
  • Submit expenditure worksheets to the Finance Head Office on or before 3rd of every subsequent month
  • Review all payment documents for proper and adequate back up.
  • Review expenditure worksheets for accuracy and completeness.
  • Liaison with Logistics, Administration and Medical, prepare commitment lists every month for financial obligations already entered into but not captured in financial reports.
  • Preparer a bank reconciliation for field office and send it to main office by 3rd of every month.
  • Liaison with field office bank on all banking issues.
  • Ensure that statutory deductions are paid on time to avoid any penalty
  • Forward to the payroll Administrator every month, an outstanding personnel advances and charges related to T7 for recovery. Ensure that advances taken in a given month are liquidated appropriately.
  • Conduct a time sheet audit for field office from time to time.
Personnel Management:
  • Serve as technical resource person for the accounting department.
Administrative duties:
  • Supervise all activities done daily in the Accounts department.
Logistics duties:
  • Review all Pos and PRs for proper coding and budget adequacy before approval.
  • In liaison with Logistics department, prepare commitment lists every month for financial obligations already entered into but not captured in financial reports.
Finance/Budgeting:
  • Act at all times in accordance with local law and standards of accounting practice.
  • Review with the objective of gaining a clear understanding budget guidelines and instructions
  • Review funding allocations to enable proper guidance to programs and proper coding.
  • Provide training to program staff on finance issues.
  • Receptive to training provided and to develop his or her technical and professional competence.
  • Produce monthly and quarterly reports to be reviewed by Roving Finance Controller.
  • Assist in budget preparation at the field level.
Security/Communication:
  • Communicate with Finance main office on security issues within the office and outside the office
  • Report to the Finance Manager any irregularities that occur within the IRC office, staff compound and sites on policy and procedures.
Coordination:
  • In coordination with supervisor, carry out appraisals for staff in the department.
Common duties:
  • Attend and participate in trainings identified/organized by your supervisor
  • Follow any new procedures and guidelines designated in circulars from Country Director
  • Report any violations of the IRC Sexual Abuse and Exploitation Code of Conduct (in-country and World-wide) as per the IRC reporting mechanism. The reporting of violations is an obligation on the part of all staff members
  • Assist where necessary in undertaking activities that aim to prevent the occurrence of sexual abuse and exploitation of refugees by IRC and other humanitarian workers.
  • Perform other duties as may be assigned by your supervisor
Qualifications
  • Bachelor's degree or HND in Accounting from recognized College/Institutions with a minimum of three (3) years of accounting experience.
  • Computer literate with significant experience in excel, accounting package knowledge (SUN system) will be an added advantage.
  • The candidate should be mature, with stable personality and ability to maintain confidentiality.
Work Environment:
  • The position will work in the Maiduguri Field Office. The program site in Northern Nigeria. The security level 3 - orange

  • The Driver will work within the Supply Chain department Operational Support structure, committed to provide reliable and compliant support to program and operational activities in order to achieve efficient service to program beneficiaries and IRC activities.
  • The driver will provide safe, transport services for IRC activities and support staff in relations to operational activities.
  • The driver will adhere to all traffic and IRC safety rules and follow the transport guidelines required by IRC
Responsibilities Specific responsibilities include:
  • Operate IRC vehicles as assigned by supervisor;
  • Provide safe transportation of IRC personnel
  • Provide safe transportation of IRC materials
  • Maintain vehicle log-sheets in accordance with IRC policies/regulations;
  • Check the vehicle conditions after each trip/routinely – report needs and problems to transport management;
  • Adhere to all safety and communication protocols as advised by the IRC and supervisor;
  • Responsible for the safekeeping of all vehicle equipment, tools, first aid kits, spares etc.;
  • Keep the vehicle ready, clean and on standby – ready for use at all times;
  • Assist, as required, with logistics in the office and guesthouse daily workloads;
  • Cooperate and be of assistance to staff and visitors – assist in troubleshooting potential problems during daily business;
  • Report all maintenance needs of the vehicle to transport management on a regular basis;
  • Adherence to all IRC policies and procedures
  • Conduct himself/herself both professionally and personally in such a manner as to bring credit to IRC
  • Other duties as assigned
Expected Deliverables:
  • Strict adherence to the IRC’s vehicle policies and procedures, including the use of seatbelts by all passengers.
  • Daily and pre-long distance vehicle checks. Accurate upkeep of the vehicle’s log sheet.
  • Maintaining the vehicle clean, fueled and mechanically sound.
  • Inspecting and maintaining all vehicle accessories.
  • Advising the Transport manager of pending inspections, insurance renewal or any defects or problems.
Minimum Requirements
  • Level Secondary education
  • Valid driving license
  • Written and spoken English
  • Able to pass IRC driving test.
Key Competencies:
  • Minimum two years’ work as a professional driver
  • No road safety-related fines or convictions Thorough knowledge of road rules and regulations
  • Skills in routine vehicle maintenance and minor repair
  • Knowledge (or ability to quickly learn) of HF, VHF and satellite communications equipment
  • Team spirit and problem solving abilities
  • Able to carry out limited, un-supervised tasks
  • Drivers must display an attitude and behavior that reflects well on both themselves and the IRC
  • Knowledge of routes, duty stations, project areas, the NGO and diplomatic community is required.
