  • The Office Manager will play a vital role in the efficient functioning of the office by organizing office operations and procedures critical to the daily activities of the Executive Director.
  • The Office Manager will maintain the Executive Director’s schedule, maintain effective documentation of records, ensure appropriate communication and correspondence, and maintains professional and technical knowledge for the effective running of the office.
  • In this regard, he/she should be quite accessible and responsive in the face of competing demands from both internal and external parties.
Role And Responsibilities
  • Provide office support for the efficient functioning of the office of the Executive Director;
  • Organize office operations and procedures for efficiency;
  • Coordinate the schedule, appointments and bookings of the Executive Director;
  • Coordinate activities of the office of the Executive Director and allocate tasks and assignments to ensure effective delivery of service;
  • Control correspondence, documentation and an efficient filing system;
  • Ensure security, integrity and confidentiality of information, and the retention and protection of documents;
  • Manage visitor enquiries and complaints and report;
  • Provide general support to visitors;
  • Coordinate with relevant Units to ensure effective operations of the office;
  • Implement procedural and policy changes to improve operational efficiency;
  • Undertake other duties as may be assigned by the Head of Division.
Academic Qualifications And Experience
  • Higher National Diploma (HND) or equivalent in Secretarial Studies or Administration or a related field from a recognized higher institution;
  • 6 years of progressively responsible experience in secretarial services and office management;
  • Knowledge of related computer software and relevant enterprise content management (ECM) filing systems and correspondence-related procedures, guidelines and processes to preparing and using administrative documents and templates.
Age Limit:
  • Be below 50 years old. This provision does not apply to internal candidates.

  • The ECOWAS Commission intends to use its resources to finance a service contract with a consulting firm (could be a single firm, a consortium or partnership thereof) that will be responsible of the post implementation review of the SAP system implementation in ECOWAS.
Objective of the Consultancy The main objective of the consultancy are:
  • To ascertain the degree of success from the project, in particular, the extent to which it met its objectives, delivered planned levels of benefit, and addressed the specific requirements as originally defined;
  • To examine the efficacy of all elements of the working business solution to see if further improvements can be made to optimise the benefit delivered;
  • To consider ways in which systems or the use of systems (SAP operations) might be enhanced to produce further savings or benefits and;
  • To learn lessons from this project, which can be used by the team members and by the organization to improve future project work and solutions.
Duration of the Assignment:
  • The overall duration of the assignment is estimated at three (3) months.
Qualifications The ECOWAS Commission invites Consulting Firms specialized in Post Implementation Review of SAP System or any IT Software similar to submit their candidacy for the services described above. Interested, eligible and qualified consulting firms must provide full information on their qualifications and experience, demonstrating that they are qualified and experienced in providing similar services. The criteria for shortlisting are as follows:
  • General Experience of the Firm;
  • Specific and successful experience in post implementation review of SAP systems or any similar system for International Organizations or Donors Funded projects conducted within the past ten (10) years;
  • Relevant Working Experience in the ECOWAS Region within the past ten (10) years, with evidence to substantiate claims;
  • Availability of Relevant Staff to be assigned to the ECOWAS project, showing full list of staff along with their respective CVs providing details on competencies (all applicable knowledge, skills and behavior) as well as relevant experience in Post Implementation Review of SAP System or any IT Software similar;
  • Knowledge and experience using software or computer & information technology and SAP System;
  • Language capacity of the firm (English; French and Portuguese);

  • The ECOWAS Commission intends to use its resources to finance a service contract with a consulting firm (could be a single firm, a consortium or partnership thereof) that will be responsible for conducting Staff Skills Audit for ECOWAS Community Institutions and Specialized Agencies.
Objective of the Consultancy
  • The main objective of the consultancy is to serve as a guide that stipulates standardized skills mix, related knowledge and attributes to produce a job/task to set generally accepted standards of performance and help the Community Institutions and Specialised Agencies to operate effectively.
  • It will serve as basis for decision making in a number of areas including but not limited to:
  • Accounting for the professional knowledge and technical skills of employees while verifying fit to current positions;
  • Deliberate upgrading of employees’ professional knowledge, technical skills along different stages of their career;
  • Identify gaps between present skill and future skills set required; and
  • Determine the right-fit for positions in the organisational structure and appropriate job levels.
Duration of the Assignment:
  • The overall duration of the assignment is estimated at four (4) months, which can be extended if necessary, based on the needs of the ECOWAS Commission as well as the contracted firm’s satisfactory performance.
Qualifications The ECOWAS Commission invites Consulting Firms specialized in Staff Skills Audit to submit their candidacy for the services described above. Interested, eligible and qualified consulting firms must provide full information on their qualifications and experience, demonstrating that they are qualified and experienced in providing similar services. The criteria for shortlisting are as follows:
  • General Experience of the firm (Auditing and Human Resources);
  • Specific and successful experience in conducting capacity building needs assessment with implementable solutions; competency framework and staff skills audit for Regional or International Organizations conducted within the past five (5) to ten (10) years;
  • Availability of Relevant Staff to be assigned to the ECOWAS project, showing full list of staff along with their respective CVs providing details on competencies (all applicable Human Resources knowledge, skills and abilities) as well as relevant experience in conducting staff skills audit, capacity building needs assessment with implementable solutions; competency framework; and
  • Demonstrate capacity to communicate; analyse; evaluate and produce reports in the Three (3) ECOWAS Official Languages (English; French and Portuguese).
