Job Title: Agency Document Controller
Location: Lagos Island, Lagos
Responsibilities
- Record and monitor employee information/records of enterprises within the Free Zone.
- Access card approval for enterprises operating with the zone.
- Drafting of mail, letter and all correspondences between the Free Zone and enterprises within the Free Zone.
- Develop a monthly and quarterly activity report for line manager.
- Forward planning for approvals and expansion of agency services offered in with the Free Zone
- Liaise with all government agencies (e.g. NEPZA, NPA, NIMASA, Nigerian Immigration, Customs,
- Immigration, NPA, NEPZA, Police etc...) and clients on services, procedures and maintain good relations with them.
- Ensure that activities are carried out in keeping with the laws of the Federal Republic and the procedures of the Free Zone
- Ensure that all Agency activities and services provided to clients are captured in a formal document process control system and are initiated with the FZMC service request form.
- Assist in the supervision, control and update all material and document control relating to Agency activities.
- Develop and train employees on agency and client procedures and needs.
- Actively market the services of the Company
- Any other responsibility that may be assigned by your line manager.
- Maintenance of statistics and records for all activities in own section.

- Provide support to the free zone management in the daily operation of the free zone.
- Develop and maintain the free Zone database.
- Documentation and recording of all free zone. Ensure all records are uploaded to the agency software application.
- Follow up on enterprise registration, licensing and renewals.
- Disciplinary action fair hearing committee set up and review.
- Monitor inward, outwards and within movement of people and goods as well as various services rendered.
- Liaison with the revenue team to ensure appropriate billing for services provided to registered enterprises in the Free Zone.
Requirements
Education and Qualifications
- Minimum of a Bachelor's degree in relevant course
- Advanced Computer Literate
Experience:
- 5 years of experience in a clearing and forwarding company including warehouse and logistics management
- Industry knowledge is preferred.
Knowledge, Skills and Abilities:
- Ability to work flexibly and under own initiative to achieve objectives;
- The resilience to deal with periods of work pressure and diplomacy to deal with difficult employees, customers, contactors and others while carrying out their duties;
- Reliable, with the ability to maintain high levels of service and confidentiality;
- Motivated with the ability to effectively work on own initiative.
- Verbal and written communication skill;
- Proficient use of MS Office Suite and ERP systems;
- Knowledge of administration best practices;
- Must be proficient in Microsoft office (Word, Excel, Power-point etc.)
- Sound organizational skills, with the ability to prioritize and react at short notice;
- Ability to ensure that the highest standards of quality and customer care are achieved;
- Ability to form successful relationships, working with all levels of the organization;
Proposed Salary
N150,000/Month.
