Job Title: Executive Assistant
Location: Yaba, Lagos

Responsibilities 

  • Manage the CEO’s calendar, schedule appointments, and coordinate meetings, ensuring efficient time management.
  • Prepare and organize meeting agendas, materials, and minutes.
  • Track progress on various projects, ensuring deadlines are met and stakeholders are updated.
  • Conduct research and provide reports to support the CEO's decision-making process.
  • Maintain confidential files and records.
  • Build and maintain relationships with key stakeholders, including board members, investors, and partners.
  • Facilitate communication and coordination between the CEO and other executives, departments, and external parties.
  • Assist with personal tasks to support the CEO's work-life balance.
  • Organize and manage documents, reports, and presentations.
  • Ensure the CEO has all necessary materials for meetings and presentations.
  • Plan and coordinate company events, executive meetings, and conferences.
  • Handle logistics, including venue selection, catering, and technical arrangements.
  • Handle complex travel arrangements, including booking flights, accommodations, and transportation.
  • Serve as the primary point of contact between the CEO and internal/external stakeholders.
  • Draft, review, and send communications on behalf of the CEO.
  • Screen and prioritize emails, phone calls, and correspondence to ensure timely responses.
  • Assist in the planning and execution of special projects and strategic initiatives.
  • Perform additional administrative duties as assigned by the CEO.

Requirements

  • Bachelor’s Degree in Business Administration, Management, or a related field.
  • 3-5 years of experience as an executive assistant, administrative assistant, or in a similar role, preferably supporting senior executives.
  • Exceptional organizational and time management skills.
  • Strong problem-solving abilities and attention to detail.
  • Ability to work independently and manage multiple tasks simultaneously.
  • Professional demeanor and strong interpersonal skills.
  • Project management experience is a plus.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Ability to handle confidential information with integrity and discretion.
