Assistant Manager - Administration at Lagos Chamber of Commerce and Industry


The Lagos Chamber of Commerce and Industry was established for the promotion and protection of Trade and Industry and to represent and express the opinion of the business community on matters affecting trade and industry in the city of Lagos, the Lagos Port Complex, Lagos State and where applicable, the whole Federation. It is a non-profit making organisation and its income and property are applied solely for the promotion of its objectives.

We are recruiting to fill the position below:



Job Title: Assistant Manager - Administration
Location: Lagos
Employment Type: Full-time

Job Summary

  • To assist the Head of Human Resources and Administration to ensure that the daily administrative tasks are carried out seamlessly.
  • Reports to: Head of Human Resources and Administration.
  • To supervise : Senior Officers, Officers, Office Assistants and Transport Personnel..

Responsibilities
General/Office Management:

  • Plan and and adhere to the administrative procedures and systems and devise ways to streamline processes.
  • Ensure the smooth and adequate flow of information to facilitate business operations.
  • Manage schedules and deadlines.
  • Renewal of local leases as at when due and ensuring prompt payment of grand rent
  • Asset Management (keeping track of assets).
  • Record keeping and maintenance of the Chamber’s administrative files.
  • Handling of float for the Chamber and retiring its usage to the Accounts department
  • Vetting/ensuring prompt payment of statutory bills to relevant bodies/ authorities (PHCN, water rate and other local government charges).
  • Managing / monitoring diesel usage and supply.
  • Responsible for office space planning and optimization.

Meeting Management

  • Performs Secretariat functions for the Chamber with regards to:
  • Ensuring that conference/ meeting refreshment items are always available.

Fleet Management:

  • Ensure the maintenance of the organisation’s fleet by
  • Coordinating the Transport Unit
  • Supervise the functions of the drivers and the dispatch riders.
  • Ensuring scheduled and ad-hoc maintenance
  • Ensure that the Chamber vehicles (cars and motorcycles are in good operating standards and the vehicular documentation is up to date

Requirements / Competencies

  • Education: Bachelor of Science (B.Sc) in Social Science, Business Management or its equivalence. Master’s degree or professional membership relevant professional qualifications such as ICSA, ISMNc, CIM, (required) etc.
  • Experience: 8 years cognate experience and minimum of 3 years as a Supervisor of administrative activities will be a good advantage. The candidate must also demonstrate experience in core functions of the role.

Skills:

  • Communication Skills: Excellent Communication skills (both in written and in verbal form)
  • Ms Office : A candidate for the position must be highly proficient in the use of Ms Word, Ms Excel, and PowerPoint, proficiency in effectively using relevant software.
  • Analytical Skills: A candidate for this position must possess strong analytical skills and be able to demonstrate passion for resource management.
  • Interpersonal Skills : A candidate for this position must have an ability to prioritize tasks completing multiple tasks in a timely manner, be flexible and welcoming to change, have an ability to work efficiently and be self-motivated. He or she must also be a strategic and creative thinker, have excellent problem-solving skills, have a positive and easy-going attitude, demonstrate strong work ethics and integrity, and demonstrate calmness and composure in times of uncertainty.
  • Leadership/People Skills:
  • The candidate must additionally demonstrate good leadership qualities where he or she shows an ability to influence team members and engage relevant stakeholders.
