ActionAid Nigeria (AAN) is a not for profit, non-governmental entity registered with the Nigeria Corporate Affairs Commission.
It commenced operations in Nigeria in 1999, while the programmatic operations commenced in January 2000 through a Country Agreement signed with the National Planning Commission of the Federal Republic of Nigeria.

ActionAid is an anti-poverty agency that prioritises works with the poor and excluded; promoting values and commitment in civil society, institutions and governments with the aim of achieving structural changes in order to eradicate injustices and poverty in the world. ActionAid Nigeria is an affiliate of ActionAid International, an International Non-Governmental organisation registered in The Netherlands with its headquarters in Johannesburg South Africa. ActionAid International works in more than 40 countries in Africa, Asia, Europe and the Americas.

To effectively implement our new strategy, Take Action: End Poverty (2014–2018), ActionAid Nigeria is inviting applications from qualified candidates to fill the  positions below to support the implementation of the new Country Strategy and contribute to our new fundraising initiatives.

Job Title: Database Management Officer
Location:

Responsibilities

  • Reports to the Fundraising Advisor
  • The job will involve providing technical database support to deal with data and system management tasks. Take responsibility for a range of database system administration and data management tasks on the Customer Relationship Management (CRM) database.
  • Provide technical support and assistance to the Supporter Care Officer while supporting the efficient operation and management of the supporter database.
  • Ensure accurate entry and validation of sponsors’ data.
  • Ensure timely and regular processing of electronic payments made by supporters
  • Ensure accurate reconciliation of sponsorship data from banks and supporters.
  • Provide ongoing technical support to supporter care officer in order to ensure speedy and efficient resolution of queries from supporters.
  • Providing technical support to support services officer in office administration and provide other administrative duties.
  • Internal Relationships: Sponsorship team, Finance Team, IT Team and LRP&P team
  • External Relationships: Community Sponsorship Supporters
  • Responsible for performing data analysis and preparation of reports as at when required.
  • Perform monthly review of the donor database and ensure supporter contact details are accurate and set up systems for ensuring this happens every half yearly.
  • Work with the supporter care team to provide monthly reports for renewal and other follow up processes.
  • Provide IT support in facilitating conferences and meetings.
  • Reporting on a regular basis on technical matters to the IT unit and on operational matters to Fundraising Unit.
  • Any other responsibilities assigned by the line manager.
  • Increase visibility for community sponsorship on Facebook, LinkedIn, Twitter and all other VERIFIABLE Social Networks
Requirements
  • Bachelor’s degree in Computer Science or Information Technology
  • At least three years post NYSC experience
  • Experience in IT support services.
  • Conversant with setting up audio-visual equipment.
  • Strong communication and writing skills
  • Excellent documentation skills

  • Two years’ experience in a similar position in the development sector
  • Experience of using a range of tools and applications for data reporting and manipulation eg Excel, Access, FastStats, SQL etc

Job Title: Supporter Communications Officer

Responsibilities
  • Reports to the Head of Child Sponsorship
  • The post holder will maintain timely communication with Child Sponsorship supporters in Europe, Italy, Sweden, Brazil and Nigeria. S/he will support the effective communication of the LRP programme to Child Sponsorship/Community Sponsorship supporters, communities and stakeholders.
  • S/he will support partners to carry out fundraising roles through providing on-going capacity building and support to deliver on supporter care commitments.
  • Provide a Communication point of contact for ActionAid Nigeria Child/Community Sponsorship Mechanisms.
  • Ensure communications to UK, Italy, Sweden, Brazil and Nigeria Sponsors are delivered on a timely basis
  • Work with UK, Italy and Sweden Communications and Supporter Services teams to ensure that communication and customer care commitment on Child Sponsorship, Community Sponsorship, Next Steps and Amico supporter are fulfilled.
  • Support LRP partner organizations and their communities to capture activities, programme progress and achievements to be communicated to Sponsors and other stakeholders.
  • Work with Printers and other vendors to ensure quality assurance in the production of sponsorship reports and other materials.
  • Track LRP programme activities and provide support during project visits by supporters.
  • Organise information from the wider organisation through email, and ensure it is appropriately distributed.
  • Produce Annual Communication Plans for Funding Affiliates.
  • Produce 3 year communication Plans for Child Sponsorship, Next Steps and Amico, Community Fundraising.
  • Serve as a contact point with the celebrity Campaigner for Community Fundraising
  • Facilitate the organisation of supporter events and any other social events within the organisation.
  • Support Capacity of Partners to deliver and communicate our Local Rights Programmes
  • Support Partner organizations in the development of their annual communication plans and budgets to ensure challenges are addressed and opportunities are maximized
  • Support LRP partners in developing Annual Communication Plans.
  • Encourage and support innovation in communication of child/Community sponsorship, Next Steps and Amico programmes.
  • Develop reports in conjunction with Women’s Right team in line with ActionAid’s Next Steps and Amico Policy.
  • Track Next Steps and Amico programme activities and provide support during project visits by supporters
  • Produce Next Steps and Amico Nigeria Reports
Programme and Organizational Communications
  • Oversight of team documents and publications and co-ordination of re-prints/re-design with final sign off responsibility.
  • Act as point of contact for general information on Child/Community Sponsorship, Next Steps and Amico Programmes for the wider organisation and for the PAP team.
  • Upload relevant documents on to the Community Sponsorship website and internal sites (i.e. Storieshub and HIVE)
  • Work with designers and Printers to develop new communications materials as needed.
  • Develop and maintain induction and external meeting materials and keep them updated.
  • Maintain contact lists of LRP partner organisations, stakeholders (particularly partnership development community).
  • Maintain effective communication with other teams in ActionAid.
  • Support the training of new staffs in Child Sponsorship mechanism.
  • Contribute to the capacity for using and updating of sponsorship database
Newsletter & Updates
  • Produce a dynamic and visually pleasing quarterly newsletter and circulate to policy staff across ActionAid, partner organisations, wider development audience and other stakeholders.
  • Responsible for writing updates on PAP and Sponsorship activity for ActionAid Nigeria.
  • Design and develop Sponsorship/PAP-related presentations on PowerPoint.
Mass and Social Media
  • Develop social media strategy/plan
  • Increase visibility for community sponsorship on Facebook, LinkedIn, Tweeter and all other VERIFIABLE Social Networks by creating engaging updates for each site on a daily basis
  • Develop, maintain and utilize social media calendar
  • Monitor and evaluate social media engagement using analytics software, such as Google Analytics
  • Work in close collaboration with ActionAid Communications team to generate and share content for social media platforms
  • Responsible for regularly liaising with community partners, sponsors and other ActionAid programmes, to gather information and create content for use on Sponsorship’s website and social media platforms
  • Collect, edit and post blogs written by partners, sponsors, staff, etc on Sponsorship website and external sites.

 Job Title: Supporter Services Administrator

Responsibilities
  • Reports to the Fundraising Advisor
  • The post holder will build and maintain relationships between supporter’s and ActionAid through verbal and written communications from existing and potential supporters and members. Process voluntary income and associated data received at the organisation’s regional office, identify supporters with additional or different potential and pass the information to relevant teams to further develop the relationship.
  • Provide a warm, welcoming, efficient, proactive and professional ‘one stop shop’ service to supporters and potential supporters of AAN to build and maintain the relationship between our supporters and their charity.
  • Working as part of a team, maintain open communication channels with donors, members and prospective supporters by telephone, letter and the Internet.
  • Ensure that all enquiries are handled within agreed standards.
  • Process fundraising income ensuring that the correct income code is allocated and recorded on the database within agreed timescales. Reconcile all national fundraising income with Finance, producing and maintaining records of reconciliation.
  • Produce, personalise, check and post all thank you letters to ensure a high quality ‘Maximum 24 hour’ thanking service.
  • Proactively discuss the work of ActionAid and engage with the supporter (where relevant) about their relationship with ActionAid
  • Advise on how to donate money to ActionAid that suits the supporter and their circumstance
  • Maintain accurate supporter records.
  • Ensure all filing and paperwork storage is maintained to the highest standards.
  • Assist members of the fundraising team with their administration of other fundraising activities and, from time to time, attend fundraising events out of office hours.
  • Any other tasks, duties or projects which may arise from time to time and which are appropriate with the general level of this post and as directed by your line manager.

  • Process all voluntary income received by ActionAid at national office and ensure all supporter data and information is entered onto the database accurately
  • On a daily basis code and record the donations received at national office in the CRM database.
  • In line with current procedures, update the database with details of changes to mailing preferences, new addresses, new names and deceased individuals and all other relevant information is transferred onto the database
  • Process all payment types, including credit/debit cards, cheques, standing orders, bank transfers and vouchers
  • Contact supporters in regard to incorrect or failed payments
  • Interpret our bank statement import and ensure that all donations are accurately recorded on the database or are passed to Finance as ‘Other Income’.
  • Process all data in line with the Data Protection Act
  •  To ‘prospect’ supporters and to spot opportunities for ActionAid to further build and develop relationships
  • Through the daily work of the team, spot any supporters who ay have additional potential in terms of giving money to ActionAid (eg. Titled, private banks, mentions of companies, trusts or a potential major gift)
  • Refer supporters and members to our helpline
  • Refer any detailed requests for information about our poverty eradication programmes to the relevant LRP team
  • Refer any contact from celebrities or the press to the relevant person in our Fundraising/Communications Team.
  • Take an interest in the stories from our supporters that may potentially be useful as case studies and pass the information to the relevant team members for follow up.

Requirements

  • At least one year post NYSC experience
  • Experience in a similar position in the development sector preferably as a front office staff
  • Proven experience of delivering effective customer service/supporter care.

  • Computer literate with ability to use Microsoft office software in particular Word, PowerPoint, Excel and Outlook
  • Excellent customer care skills with the ability to deal with customer enquiries in a diplomatic and sensitive manner
