Job Summary
- We are seeking a highly experienced Senior Administrative Officer with strong leadership skills, proficiency in expatriate management, and expertise in administrative coordination.
- The ideal candidate should have previous experience in handling immigration matters, expatriate quotas, CERPAC renewals, and visa processing. Additionally, experience in facility management, payroll preparation, and technical staff coordination is highly desirable.
Key Responsibilities
Administrative Operations & Staff Management:
- Oversee day-to-day administrative operations, ensuring smooth workflow and efficient processes within the organization.
- Lead and manage administrative staff, providing guidance and mentorship for optimal performance.
- Maintain records, budgets, and reports using Microsoft Excel and other relevant tools.
- Ensure compliance with company policies and support management in administrative decision-making.
- Develop and implement improvements to administrative processes and systems to enhance operational efficiency.
- Handle payroll preparation for technicians and administrative staff, ensuring accuracy and compliance with company policies.
- Coordinate and manage maintenance activities, ensuring timely completion of construction and technical tasks.
Expatriate & Immigration Management:
- Manage expatriate-related matters, including work permits and immigration documentation.
- Handle CERPAC renewals and process new applications for expatriates.
- Liaise with Nigeria Immigration Service (NIS) to ensure compliance with monthly expatriate returns.
- Monitor and manage expatriate quota allocations, ensuring adherence to regulatory requirements.
- Oversee visa processing and renewals, including business and work visas for expatriates.
Facility & Vendor Management:
- Oversee office facilities, supplies, and vendor relationships, ensuring smooth operations.
- Liaise with external service providers and contractors for facility maintenance and service agreements.
Key Requirements
- Bachelor’s Degree in Business Administration, Management, or a related field.
- 5+ years of experience in an administrative or office management role, preferably with experience in a leadership or managerial capacity.
- Proficiency in Microsoft Excel, with the ability to create and manage complex spreadsheets, reports, and budgets.
- Experience in coordinating maintenance and construction activities, managing technicians, and contractors.
- Excellent organizational and multitasking skills, with attention to detail.
- Strong communication skills (written and verbal).
- Ability to work independently, solve problems, and make sound decisions under pressure.
- Strong leadership qualities with proven experience in managing and motivating a team.
- Prior experience in handling expatriate matters, immigration procedures, and regulatory compliance.
Preferred Experience:
- Experience in the maintenance or construction sector.
- Prior experience in payroll management for technical staff.
- Age Range: 30 - 40 years old (preferred).
Salary
N300,000 - N400,000 monthly.
