Job Title: Office Administrator

Job Summary

  • The Office Administrator is responsible for ensuring the smooth and efficient operation of the office by managing administrative tasks, coordinating office activities, and providing support to staff and management.
  • The role involves a variety of tasks, including handling communications, organizing meetings, maintaining office supplies, and ensuring the office environment is well-maintained.

Responsibilities
Administrative Support:

  • Serve as the primary point of contact for internal and external communications (emails, phone calls, and correspondence).
  • Manage and maintain office filing systems, both digital and physical, ensuring confidentiality and easy retrieval.
  • Schedule appointments, meetings, and conference calls; prepare agendas and take minutes when necessary.
  • Assist in preparing reports, presentations, and documents as needed by the management team.

Office Management:

  • Oversee office supplies and inventory, ensuring that necessary items are available and replenished in a timely manner.
  • Organize and supervise office layout, cleanliness, and compliance with health and safety regulations.
  • Coordinate maintenance of office equipment (printers, computers, etc.) and liaise with vendors for repairs or technical support.

Event and Travel Coordination:

  • Arrange travel and accommodations for staff and management, including flight bookings, hotel reservations, and transportation.
  • Assist in planning and organizing company events, meetings, and conferences.

Reception Duties:

  • Greet visitors and manage front-desk operations, ensuring a welcoming and professional office environment.

Qualifications and Skills

  • Education: BSC, HND or OND in any field.
  • Experience: 1-3 years of experience in office administration or a related role.
  • Communication Skills: Excellent written and verbal communication skills, with a professional and approachable demeanor.
  • Problem-Solving: Ability to handle multiple tasks simultaneously and resolve issues quickly.
  • Interpersonal Skills: Strong customer service skills, with the ability to work with a wide range of individuals across all levels of the organization.
  • Technical Skills: Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook); familiarity with office management software is a plus.
  • Organizational Skills: Strong attention to detail, excellent time management, and the ability to prioritize tasks effectively.
