Job Title: Group Administrative Secretary

Location: Lagos
Employment Type: Full-time

Job Description

  • Perform general clerical duties, such as answering and directing phone calls, taking messages, handling correspondence, organizing and maintaining files, scheduling appointments, and managing calendars.
  • Coordinate office activities and operations, including ordering and maintaining office supplies, managing office equipment, overseeing the maintenance of office facilities, and arranging for repairs when necessary.
  • Schedule and organize meetings, conferences, and events, including preparing agendas, taking meeting minutes, arranging logistics, coordinating travel and accommodations, and ensuring all necessary materials and resources are available.
  • Maintain accurate records and databases, such as employee records, attendance logs, expense reports, and inventory lists. Ensure confidentiality and security of sensitive information.
  • Communicate effectively with internal staff, external clients, and vendors, both verbally and in writing. Handle incoming and outgoing correspondence promptly and professionally.
  • Collect, analyze, and summarize data and information, and prepare reports as required. Update and maintain databases, spreadsheets, and other records.
  • Provide administrative assistance to executives or department managers, including preparing reports, and presentations, drafting/editing correspondence, filing/paper management, bookkeeping, typing, equipment handling, customer service, research, and self-motivation
  • support for various projects and initiatives, such as research, data gathering, documentation, and coordination of tasks.
  • Technology and Software Proficiency: Utilize various office software and technology tools, such as word processing, spreadsheet, and presentation software, email and calendar systems, and database management tools.

Requirements

  • Bachelor’s Degree or it’s equivalent in an Administrative-related course
  • 2 - 4 years as an Administrative Secretary
  • Possessing any of these certifications would be an added bonus ICSAN, CMS, or NIM
  • Proven secretary experience.
