Executive Assistant to the COO at Bamboo

Job Title: Executive Assistant to the COO

Location: Remote
Employment Type: Full-time

What You Will Be Doing
Calendar Management:

  • Efficiently manage the COO's calendar, scheduling meetings, and appointments, and ensuring effective time management.

Communication:

  • Act as a primary point of contact between the COO and internal/external stakeholders, ensuring clear and timely communication.

Documentation and Reporting:

  • Prepare, edit, and format reports, presentations, and other documents with a high level of accuracy and attention to detail.

Meeting Coordination:

  • Organize and coordinate internal and external meetings, ensuring all necessary materials are prepared and distributed in advance.

Travel Management:

  • Arrange comprehensive travel itineraries, accommodations, and logistics for the COO, optimizing for efficiency.

Expense Management:

  • Track and process expense reports promptly and accurately, utilizing rudimentary Excel skills for basic spreadsheet tasks.

Data Entry and Analysis:

  • Assist in basic data entry tasks and provide rudimentary Excel support for simple spreadsheets and data analysis.

Confidentiality:

  • Handle sensitive information with the utmost discretion and maintain confidentiality in all aspects of the role.

Extensive Research:

  • Conduct thorough research on various topics as assigned by the COO, providing comprehensive reports and summaries.

Market Analysis:

  • Assist in analyzing market trends, competitor activities, and industry developments to keep the COO informed and prepared.

Special Projects:

  • Collaborate on various special projects and initiatives, contributing administrative support, coordination, and research expertise as required by the COO.

Competencies Required for this Role at Level 4

  • Work experience as an Executive Assistant, Personal Assistant or similar role at a fast-paced start-up.
  • Outstanding organizational and time management skills, creative and willing to take work independently.
  • A high degree of discretion and confidentiality.
  • A proactive, calm demeanour, with a strong work ethic.
  • Analytical mindset that sees through the details and solves complex problems ahead.
  • Demonstrated understanding of technology, and an interest in learning the latest applications to enhance productivity.
  • Excellent communication skills, both written and spoken.
  • Growth mindset, possess intellectual curiosity, empathy and high EQ.
