Job Description
- We seek a highly organized and detail-oriented individual to join our team as an Entry-Level Executive Assistant. As an Executive Assistant, you will provide administrative support to The Managing Director and ensure the smooth operation of the office.
- You will play a crucial role in assisting with various tasks and projects, managing schedules, coordinating meetings, and maintaining effective communication within the organization.
Responsibilities
- Provide administrative support to the executive team, including calendar management, travel arrangements, expense reporting, and meeting coordination.
- Manage and organize executive schedules, ensuring appointments and meetings are scheduled efficiently.
- Prepare and distribute correspondence, memos, reports, and presentations as required.
- Assist with the preparation and coordination of meetings, including agenda creation, meeting room setup, and document preparation.
- Take meeting minutes and follow up on action items to ensure timely completion.
- Screen and direct incoming calls and emails, responding when appropriate or forwarding to the appropriate team member.
- Collaborate with other administrative staff to ensure smooth operations of the office, including ordering supplies, coordinating maintenance, and managing office equipment.
- Prioritize and manage multiple tasks and projects simultaneously, ensuring deadlines are met and work is completed accurately.
- Continuously seek opportunities to improve administrative processes and procedures to enhance efficiency and productivity.
- Maintain high confidentiality and handle sensitive information with professionalism and discretion.
- Conduct research and gather information to support decision-making and provide recommendations as needed.
- Assist with special projects, such as event planning, marketing initiatives, or other company-wide activities.
Requirements
- Bachelor's Degree in Business Administration, Office Management, or a related field is preferred.
- Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
- Ability to maintain a high level of professionalism, confidentiality, and discretion.
- candidate must reside within Ajah and its environs.
- A minimum of 2 years of experience in an administrative or executive support role is a plus.
- Exceptional organizational skills with the ability to multitask and prioritize effectively.
- Strong attention to detail and accuracy in completing tasks.
- Excellent verbal and written communication skills.
Salary
N70,000 - N100,000 monthly
