Job Summary
- We’re currently looking for an executive assistant to provide top-tier support to the Executive Director.
- This role requires exceptional organizational, communication, and multitasking abilities.
- While prior legal experience or a background in law is an asset, we value strong administrative expertise and a keen attention to detail.
Duties
- Project and Task Management: Assist in planning, coordinating, and tracking the progress of various projects. As well as conduct research, compile reports, summarize key information as needed, and collaborate with teams to ensure that deadlines and deliverables are met.
- Meeting Coordination: Organize and coordinate executive meetings and external relations efforts and oversee special projects as required. As well as coordinate meetings (physical and virtual meetings) and strategic activities with the Executive Team, Board of Directors and other key stakeholders (internal and external).
- Administrative Support: Oversee and manage the Executive Director’s calendar, scheduling,
- appointments and prioritizing the most sensitive matters. Prepare meeting materials, draft correspondence, and take minutes during meetings. As well as organize and maintain records, ensuring confidentiality and accuracy.
- Confidentiality: Handle all confidential information with integrity and discretion.
- Office Management: Ensure the effective management of the Executive Director’s office, including maintaining supplies, organizing documents & files and coordinating office activities.
- Communication and Coordination: Serve as the Executive Director’s point of contact to the organization and externals as required including preparing agendas, presentations and drafting minutes. As well as answering and prioritizing calls, emails and other correspondences.
- Document Review: Review Contracts, Agreements and other legal documents to ensure the terms are favourable and reduce risk to the Executive Director as well as the organization.
- Additional Duties: Handle travel arrangements, including itineraries and expense tracking, anticipate the Executive Director’s needs and proactively address potential issues, and provide logistical and administrative support for events and engagements.
- Any other duties as may be assigned by the Executive Director.
Requirements
- Bachelor’s Degree in Business Administration, Law, or a related field (preferred).
- Proven experience as an Executive Assistant or in a similar role.
- Strong organizational and time-management skills, with the ability to prioritise tasks.
- Excellent written and verbal communication skills.
- Ability to work independently.
- Willingness to work flexible hours, including the possibility of working late on occasion.
- Discretion and the ability to handle confidential information with professionalism.
- Proficiency in Microsoft Office suite and other office productivity tools along with an aptitude for learning new software and systems.
Preferred skills & qualifications:
- Familiarity with legal documents, contracts, and compliance processes (an asset).
- Experience in overseeing budgets and expenses.
- Experience in developing internal processes and filing systems.
- Ability to anticipate needs and work independently in a fast-paced environment.
- Strong interpersonal skills to build effective relationships.
