Africa Youth Growth Foundation (AYGF) is a regional non- Governmental Organisation established in April 2003 and registered in July 2006 with the Corporate Affairs Commission, Abuja, Nigeria. AYGF has an operational base in British Columbia Canada, Texas USA, and Nigeria (Kogi state, Niger State, Ogun State, Katsina State, and the FCT- Abuja). Over the years the Organisation has implemented several projects that addressed issues around migration, Public Health, Education, Democratic Governance, livelihood, Climate Change and Environment.

We are recruiting to fill the position below:

 

 

Job Title: Executive Assistant

Location: Abuja (FCT)
Employment Type: Full-time

Job Description

  • The incumbent will manage day to day operations of the project by organizing schedules and providing technical support to the Executive Director.
  • In addition, the Program Assistant will help to write proposals, develop materials, translate documents, and organize the program files, including updating the Executive Director on a regular basis.

Essential Duties and Responsibilities

  • Review/collate periodic programmatic reports (monthly, quarterly, and annually) and submit to the Executive Director.
  • Provide program support for the conduct of technical unit review and strategic planning meetings including scheduling, report writing and tracking of next steps
  • Follow up on action points/next steps from technical/programmatic meetings.
  • Provide program support for the conduct of technical unit review and strategic planning meetings including scheduling, report writing and tracking of next steps
  • Write Proposals and proofread written proposals for the Executive Director.
  • Extensive travel management including flights, accommodation, itineraries, and expenses.
  • Prepare and format documentations including correspondences, presentations, meeting agenda, minutes, submissions, and reports.
  • Perform other duties as assigned by supervisor or designee

Qualifications and Experience

  • University Degree with minimum two years post NYSC experience in NGO office administration or program support
  • Demonstrable project management and organizational skills
  • Ability to handle multiple tasks simultaneously
  • Ability to take initiative, and attention to details
  • Excellent interpersonal skills.
  • Demonstrated high level organizational, communication and administrative experience.
  • Demonstrated experience in data entry and data management.
  • Demonstrated experience in the development and implementation of policies and procedures.
  • Excellent interpersonal and organizational skills with the ability to organize workflow and coordinate activities and prioritize workload.

Key Performance Indicators:

  • Effectiveness of program narratives developed for Continuation Applications from the thematic areas
  • Quality of database, minutes of meetings and success stories provided
  • Quality, adequacy, and timeliness of programmatic reports generated
  • Quality and effectiveness of program support provided to the thematic team
  • Internal customer satisfaction levels
  • Effectiveness of management reporting
  • Quality and timeliness of deliverables
