Job Title: Administrative Operations Executive

Location: Abuja

Job Summary

  • The Administrative Operations role involves overseeing and managing the day-to-day administrative functions within the liaison office of the organization.

Responsibilities
The following job description sets out the duties which you are to provide as an Admin Operation Executive. The lists included for the Job description are not exhaustive and further requirements may be added:

  • Coordinate and oversee daily office operations
  • Coordinates and oversees daily administrative functions, ensuring smooth operations and timely completion of assignments by all staff.
  • Manage office supplies inventory, including ordering and restocking as needed.
  • Schedule and coordinate meetings, appointments, and travel arrangements for staff members.
  • Prepare and distribute internal and external communications/ correspondence, memos, and reports.
  • Give presentations on behalf of the organization
  • Maintain organized filing systems, both physical and digital, ensuring easy access to important documents.
  • Assist in budget preparation and monitoring of administrative expenses.
  • Serve as a point of contact for internal and external stakeholders, providing excellent customer service.
  • Support HR functions, such as onboarding new employees and maintaining personnel records.
  • Collaborate with Head office and other departments to facilitate cross-functional initiatives and projects.
  • Ensure compliance with company policies and procedures.

Basic Requirements

  • Candidates should possess a Bachelor's Degree
  • Ability to navigate the social media environment will be an added advantage
  • Attention to detail and a high level of accuracy in work.
  • Ability to handle confidential information with discretion.
  • Strong problem-solving and decision-making abilities.
  • Ability to work independently and as part of a team.
  • Must possess a minimum of three years’ experience in similar role or capacity
  • Proven demonstrative administrative expertise
  • Excellent verbal and written communication skills.
  • Ability to communicate in Hausa language is mandatory
  • Strong organizational and time management skills, with the ability to prioritize tasks effectively.
  • Proficient in using office software, such as MS Office Suite.
  • Flexibility and adaptability to changing priorities and deadlines.
