Job Title: Administrative Executive
Location: Lekki, Lagos
Employment Type: Full-time
Sector: Downstream Oil & Gas.

Job Summary
- The Administrative Executive will play a critical role in ensuring the organisation's seamless and efficient day-to-day operations.
- This role requires advanced administrative skills, particularly in the Oil and Gas Downstream sector, to provide essential support and coordination across various departments.
Key Responsibilities
Advanced Administrative Support:
- Provide advanced administrative support to different departments within the organization.
- Coordinate and schedule meetings, appointments, and events.
- Handle incoming communications, including calls, emails, and inquiries, and redirect them appropriately.
- Maintain an organized and accessible filing system for crucial documents.
Expert Documentation Management:
- Ensure the timely collection, organization, and filing of critical documents.
- Maintain accurate records and databases.
- Prepare advanced reports, presentations, and other documents as required.
Advanced Operations Coordination:
- Collaborate with various teams to oversee day-to-day operations.
- Play a key role in monitoring and managing product delivery schedules to customers and vendors.
- Ensure strict compliance with safety and regulatory requirements in all operations.
Effective Communication and Collaboration:
- Facilitate advanced communication and coordination among staff, drivers, and engineers.
- Engage in proactive follow-ups with field staff and drivers to ensure the smooth execution of delivery processes.
Advanced Stock Management:
- Contribute to the advanced management of stock with vendors and perform periodic reconciliations.
- Ensure the meticulous distribution of products based on customer requests.
Comprehensive Reporting and Analysis:
- Prepare advanced weekly reports on liftings and deliveries to customers.
- Maintain advanced, updated records and files, including waybills signed by customers and drivers.
- Assist in advanced monthly or cyclical reconciliation of product receipts and issues.
- Generate comprehensive summaries of products supplied and invoiced to customers.
- Manage detailed stock-taking reports from various depots, clients, suppliers, trucks, and drivers.
Qualifications
- Bachelor’s Degree in Business Administration, Management, or a related field.
- Proven experience as an Administrative Executive in the Oil and Gas Downstream sector is compulsory.
Skills and Knowledge Required:
- 3 Years of proven experience as an Administrative Executive in the Downstream Oil and Gas industry.
- Detail-oriented and capable of maintaining accurate records.
- Knowledge of the Hausa language is a plus.
- Strong knowledge of administrative processes and procedures within the oil and gas sector.
- Excellent organizational and multitasking abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Effective communication and interpersonal skills.

- Timely and accurate management of administrative tasks.
- Effective coordination of administrative functions.
- Compliance with industry-specific regulations and guidelines.
- Successful communication and collaboration with team members and clients.
- Efficient record-keeping and reporting.
Education and Qualification Required:
- Bachelor’s degree in business administration, Management, or a related field.
- Minimum of 3 years of proven experience as an Administrative Executive in the Downstream Oil and Gas industry.
- Additional certifications or courses related to Oil and Gas operations are a plus.
Remuneration
N250,000 (Gross).
