Moment for Women Alliance is a registered women and girls' rights organization dedicated to advancing the human right of young women and girls in Nigeria. Since founded, we have positioned ourselves to secure protection for women and girls' rights, end gender-based violence, and access to health with the focus on sexual and reproductive health services, policy advocacy & inclusive governance.

Job Description
- We are seeking a dynamic and organized administrative assistant to join our team.
- The officer will be responsible for providing administrative support to ensure the efficient operation of the organization's office.
- The ideal candidate will have strong organizational skills, written and verbal communication skills, attention to detail, and the ability to handle multiple tasks in a fast-paced environment.
Responsibilities
Membership Management:
- Develop and implement strategies to attract new members and retain existing ones.
- Maintain accurate membership records, including contact information, payment status, and participation history.
- Coordinate membership outreach activities, such as recruitment drives, networking events, and membership drives.
- Respond to member inquiries, requests, and feedback in a timely and professional manner.
Overall Operations Oversight:
- Oversee the day-to-day operations of the Moment for Women Alliance, ensuring smooth and efficient functioning.
- Coordinate with program managers and department heads to ensure alignment of activities with organizational goals and objectives.
- Identify areas for improvement and implement innovative solutions to enhance organizational performance.
- Develop and implement organizational policies, procedures, and guidelines to enhance operational efficiency and effectiveness.
- Monitor budgetary allocations and expenditures, ensuring financial resources are utilized responsibly and in accordance with established guidelines.
Administrative Support:
- Provide administrative support to the executive team, including scheduling meetings, managing calendars, and coordinating travel arrangements.
- Maintain office supplies and equipment, coordinating procurement and repairs as needed.
- Organize and maintain electronic and physical filing systems, ensuring easy access to important documents and records.
- Prepare and distribute agendas, minutes, and other materials for meetings, ensuring timely dissemination of relevant information.
Event Coordination and Support:
- Coordinate logistics for organizational events, such as workshops, conferences, and fundraising activities.
- Collaborate with marketing and communications teams to promote events and increase participation.
- Assist in the planning and execution of events, including venue selection, catering arrangements, and participant registration.
Communication and liaison:
- Serve as a primary point of contact for external stakeholders, including members, partners, and vendors.
- Facilitate communication between different departments and teams within the organization, fostering collaboration and teamwork.
- Represent Moment for Women Alliance at external meetings, conferences, and events, promoting the organization's mission and initiatives.
Compliance and Reporting:
- Ensure compliance with relevant laws, regulations, and ethical standards governing non-profit organizations.
- Prepare regular reports on membership statistics, financial performance, and operational activities for presentation to the executive team and board of directors.
- Assist in the preparation of grant proposals, funding applications, and donor reports, providing accurate and timely information as needed.
Qualifications
- Bachelor's Degree in Business Administration, Office Management, or a related field.
- 2+ years relevant work experience.
- Proven experience in office administration or a similar role, preferably in a non-profit or social enterprise environment.
- Proficiency in Microsoft Office Suite and other office software applications.
- Attention to detail and accuracy in data entry and record-keeping.
- Ability to work independently with minimal supervision, as well as collaboratively in a team environment.
- Commitment to the mission and values of Moment for Women Alliance.
- Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Excellent communication skills, both written and verbal, with a professional and courteous demeanor.
