The Opportunity
- The Administrative Assistant's role is to support the Head of Finance and Admin to effectively and efficiently manage business operations.
- They may sometimes be required to act on behalf of the Head of Admin and Finance and serve as the first point of contact with clients, internal staff and other business contacts.
- We seek someone passionate about business administration, Finance, Technology, and leadership to provide outstanding administrative support with hands-on experience with the required tools/ software.
Your Role
- Supervising all company’s travel requirements for meetings and conferences (hotel bookings, air tickets, conferences, virtual meetings, etc.) in line with the Company’s policies and procedures at reduced cost.
- Assist in the maintenance of a proper filing system
- Assist in overseeing all procurement processes and proper assets management, monitoring, recording, and disposal with all company vendors and suppliers.
- Supervising all arrangements for project trips, assembling information pertinent to the purpose of travel, and liaising with the company accountant to reconcile all travel budgets and allocations to match the overall company budgeting schedule, which affects the overall profit line.
- Manage proper liaison with all company’s suppliers, vendors, and logistics providers daily to ensure accurate timeline deliveries and functional running of all office activities without hitches at reduced cost.
- Assist in the timely preparation of company financial books and records
- Preparation, sending and managing monthly invoices and receivables to and from the company’s various clients in agreement with the company’s retainer arrangements and new business proposals.
- Handle confidential information with discretion and integrity, ensuring compliance with company policies and procedures.
- Support special projects and initiatives as may be assigned from time to time by the Head of Finance and Administration
- Participate and Assist in the final compilation and outcome of all required documentation necessary for the company’s bid responses and submissions to EOIs, RFP, Retainer arrangements, and Federal Government Contracts concerning the office of the President
- Preparation and presentation of quarterly management account to the Company’s Management staff.
Your Profile
- Bachelor’s degree or equivalent experience in business administration, social sciences or a related field.
- 1-3 years of proven experience as an executive assistant, admin assistant, office manager, or similar role, with a strong track record of success. A background in finance is a plus.
- Strong interpersonal and communication skills, with the ability to interact professionally with diverse stakeholders.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office productivity tools.
- Excellent organisational and time management skills, with the ability to prioritise tasks and meet deadlines, a fast-paced learner.
- Strong financial Integrity, Confidentiality and ethics.
