  • The Warehouse and Supply Chain Officer will work within the Logistics department of Operational Support structure, committed to provide reliable and compliant support to program activities in order to achieve efficient service to program beneficiaries.
  • The Warehouse Officer will ensure smooth operations of IMC warehouses and directly manage the receipt, dispatch and inventory keeping of all food and goods that entered into the storage facilities.
  • Through implementing IMC and donor’s Warehousing procedures the Warehouse Officer will ensures that all food and inventories will be accounted for in accordance to IMC and donor requirements.
Supervisory Responsibility:
  • Warehouse Assistants and Daily laborers based in Maiduguri and Damboa field sites in Borno state, North East Nigeria.
Responsibilities
  • Daily coordination of IMC – WFP logistical, warehouse activities; timely delivery of food and supplies to respective distribution points/sites with the coordination of food distribution monitors and project department as well as IMC transport pool.
  • Has a full understanding of the minimum warehouse policies, reporting templates and formats.
  • Maintain the food distribution data and inventory and prepare reports on a daily basis for submission to the commodity Tracking Officer;
  • Travel to field sites to deliver and or receive and inspect goods delivered directly to the field;
  • Interacts with WFP transporters and staff in the receiving and inspection of goods – receives, delivery notices, packing lists and issues GRNs.
  • Receives the food and goods as per the description on the packing list and per letter of Understanding with WFP. Inspects food and goods upon delivery and rejects inadequate, broken, lower quality and other items not meeting the requirements of the order;
  • Dispatches food and goods from the warehouse using appropriate IMC warehouse established procedures, Store Release forms, Waybills and update Stock Records accordingly.
  • With the Commodity Tracking Officer, prepare report of monthly stocks, end of grant stocks, fiscal year physical counts and other physical counts, as instructed by supervisor.
  • Ensure warehouse best practices are undertaken; display of bin cards on each item in the warehouse; stock verifications on (expiry dates), FIFO/FEFO, generate the commodities movement way bills and gate passes etc
  • Maintain physical and electronic copies of inventory, as per formats and forms provided in the Warehouse Manual;
  • Coordinate with the Transport Manager for transportation and arrangement for food timely dispatches
  • Ensure proper warehouse control measures are instituted such as; the commodities movement way bills, gate passes and visitors logbooks, spot checks etc.
  • Conduct himself/herself both professionally and personally in such a manner as to bring credit to IMC and to not jeopardize its humanitarian mission in Nigeria

  • The selected candidate(s) will work as part of a team to implement the General Food Distribution to IDPs and host communities and Blanket Supplementary Feeding Program (BSFP) for vulnerable children and Pregnant and Lactating women in the State.
Responsibilities Monitoring and Reporting:
  • To work in close collaboration with the project team to coordinate any needs assessment, beneficiary registration for the food assistance program
  • To work with distribution team leaders and update beneficiary registry on a regular basis tracking new arrivals and exits from the program
  • To liaise with the food distribution team and compile daily distribution report and transmit to WFP focal points,

  • The Supply Chain Manager will work within the IMC Logistics Department of Operational Support structure, committed to provide reliable and compliant support to program activities in order to achieve efficient service to program beneficiaries.
  • The jobholder will ensure smooth operations of IMC warehouses and manage the receipt, dispatch and inventory keeping of all food and goods that enter into the storage facilities in Maiduguri and Damboa field sites, Borno state.
  • Through implementing IMC Warehousing procedures; the jobholder will ensure that all food supplies and inventories will be accounted for in accordance to IMC and donor (WFP) requirements.
Supervisory Responsibility:
  • Closely working with the Logistics Coordinator, the Warehouse and Supply Chain Manager will directly supervise Warehouse Officers (5), Commodity Tracking and Reporting Officer (1), Warehouse Assistants (6) and Daily laborers (15) based in Maiduguri and Damboa field sites in Borno state, North East Nigeria.
Main Responsibility
  • Implement and manage the warehouse in accordance with the IMC as well as WFP, Warehouse Policy and Procedures Guidelines
  • Daily planning and coordination of your team and IMC - WFP logistical, warehouse activities;
  • Drives and leads on proactive supply chain & distribution planning activities with the IMC Program Team & WFP. Ensure the timely delivery of food supplies to respective distribution sites/points with the coordination of WFP- Project Manager and IMC transport pool.
  • Has full understanding and knowledge of standard warehouse policies and procedures. Assists, as needed in training staff on these policies, reporting templates and forms;
  • Preparation of monthly food distribution status reports on deliveries, stocks, end of grant stocks, fiscal year physical counts and other physical counts, as instructed by supervisor.
  • Assist in the maintenance of thorough warehouse files as outlined in the IMC Warehouse and Procurement policies;
  • Travel or delegate subordinate to travel to field sites to receive and inspect foods delivered (if any) directly to the field;

  • Reporting directly to Warehouse and Supply Chain Officer, Warehouse Assistants perform a number of duties aimed at ensuring that the operations of a warehouse are run smoothly on a daily basis.
  • Their work includes assisting Warehouse Officers and manager in making sure that the flow of goods/food in and out of the warehouse is handled effectively.
  • They control the flow of stock, monitor the coming in and going out of food/goods and handle stock records within a warehouse environment.
Main Responsibilities
  • Take orders from Warehouse Officer or Managers on a daily basis and review them thoroughly
  • Ensure proper loading and unloading of food onto or from the trucks
  • Ensure that correct quantity has been received by comparing received goods/food quantities with information on the work order/packing list
  • Identify any damaged or missing food/goods cartons and record pertinent information
  • Ensure that delivery forms are signed only upon satisfaction of completed order
  • Move received goods to appropriate storage areas and ensure bin cards are prepared and put accordingly.
  • Make sure that all goods are labeled properly using appropriate lot and item numbers

  • The selected candidate(s) will work as part of the core team implementing daily food distribution and all activities at food distribution points during the General Food Distribution to IDPs and host communities and Blanket Supplementary Feeding Program (BSFP) for vulnerable children and Pregnant and Lactating women in the State.
Responsibilities Implementation of Programs Activities:
  • Work with M&E and data clerks to conduct beneficiary registration and update the registry with new arrivals and exits
  • Compile and timely submit the food requests to WFP logistics and program unit,
  • Conduct beneficiary sensitization on- food rations, distribution days, distribution points, beneficiary rights, etc
  • Maintain open line of communication with the beneficiaries to obtain feedback, complaints
  • Conduct beneficiary verification, validation and registration on distribution days
  • Identify and prioritize vulnerable people on distribution days
  • Update and reconcile stock issues against the distribution list for every distribution
  • Work with the team to maintain a log of feedback, complaints and corrective actions.
  • Disseminate findings from PDM
  • Coordinate the food committee and SEMA/NEMA officials in the implementation of activities

  • Responsible for tracking all distribution commodities and reporting on commodity holdings related to IMC’s Emergency Distribution Programs in Borno state.
  • This includes activities such as traveling to the field during distributions and warehouse during loading times, tracking the movement of commodities to each beneficiary population.
  • All activities and commodities are to be documented in accordance with IMC & Donor’s (WFP) minimum requirements; templates, formats and procedures.
Responsibilities
  • Collect, track, and maintain records of; Good/Food Delivery Notes, Packing lists, Good Issues Orders, Waybills in and out of IMC warehouses.
  • Collect and record food monitor’s reports and Waybills and reconcile them with other records and documents.
  • Maintain records of beneficiary numbers by sites and location (Maiduguri and Damboa.

  • The main purpose of the role is to provide program support, development and implementation.
  • Ensure relevant International Medical Corps procedures and best practices are followed in relation to logistics, security, and human resource management.
  • Ensure all relevant authorities are included in the planning and implementation of projects as appropriate; draw up plans, proposals and budgets for new projects/extensions of projects in conjunction with the relevant team, medical and financial staff; proactively contributed to program development and strategy.
Main Responsibilities
  • Internal Coordination and Program Management:
  • Ensures that program needs at the field site are met with adequate operations support through regular meetings with WASH staff, Nutrition Staff, WFP project staff, Finance-Administration, Human Resources, and Procurement
  • Participate in program activity planning, implementation, strategy, needs assessment, meetings, etc
  • Ensure staff training and capacity building as necessary to meet the needs of implementing programs
  • Report to Emergency Program Coordinator, WFP project managers, logistics Coordinator and Finance Director in a timely mnanner
  • Logistics management (with technical support from Logistic Coordinator, field logistics officer ensure that IMC logistics procedures are implemented and respected
  • Finance/HR/Admin management: with technical support from finance and admin director, to ensure that IMC finance and HR procedures were implemented and respected
  • Submit regular cash requests and forecasts based on activity needs
  • Coordinate with budget holders and Finance/Admin unit to ensure adequate for support for program operations
  • Ensure that field finance/admin and implement appropriate accounting, cash management, salary payments, HR procedures and file other administrative issues
Security Management:
  • With technical support from security Manager and Country Director, ensure that security procedures are implemented
  • Take necessary security steps to ensure site and staff safety
  • Monitor security on each day including evaluations
  • Ensure external liaison with main actors but also develop an information diversified network
  • Validate all staff and logistics movements between bases
External Coordination:
  • Responsible for IMC representation in the field site and general coordination (the technical expatriates liaise directly for technical matters with MOH)
  • Ensured reporting and liaison to local authorities , as needed
  • Supervise national staff
  • Provide oversight support and guidance to staff
Staff Management:
  • Supervise the operational staff to ensure that work is done properly and efficiently.
  • Routinely monitor staff performance according to their job description and set objectives.
  • Evaluation and appraisal of staff through the IMC Performance Management.
Coordination and Representation:
  • Develop and maintain effective working relationships with all stakeholders - including community leaders, NGOs, UN agencies, community based organisations and other IMC sectors to enhance cooperation and coordination;
  • Ensure that information from coordination meetings is shared internally and with other sectors, as appropriate.
  • Represent the IMC in coordination mechanisms and meetings with other agencies, including the Ministry of Health, WHO and other UN agencies, non-governmental organizations, or donors.
  • Advocate with and/or advise peer agencies, local government, and other stakeholders to influence responses to promote delivery of inclusive and high quality reproductive health response services.
Prevention of Sexual Exploitation and Abuse:
  • Actively promote PSEA (Prevention of Sexual Exploitation and Abuse) standards within IMC and amongst beneficiaries served by IMC.
Compliance & Ethics:
  • Promotes and encourages a culture of compliance and ethics throughout International Medical Corps. As applicable to the position, maintains a clear understanding of International Medical Corps’ and donor compliance and ethics standards and adheres to those standards. Conducts work with the highest level of integrity.
Qualifications and Experience
  • Minimum of a Bachelor degree in Management Studies (Business Administration, Project Management, Social Science, Social Works and Administration, International Development, Public Health),
  • Working experience in managing WASH, Nutrition projects is desirable
  • At least 2 years’ experience in coordinating, implementing and programs in emergency contexts and/or refugee or IDP settings;
  • Experience in technically supervising staff in a complex setting;
  • Thorough understanding of gender-based violence response protocols and service provision;
  • Ability to validate and interpret data;
  • Demonstrated ability to support and build staff capacity;
  • Ability to work independently and as a collaborative team member;
  • Fluency in English;
  • Excellent oral and written communication skills;
  • Ability to live in a high security environment;
Preferred:
  • Work experiences in Damboa and or Dikwa is preferred
  • High level of communication and public relations skills
  • Proficiency in Microsoft office packages
