Job Title: Admin and Logistics Assistant

Role Purpose
- To provide support to sound office and logistics management for all project activities in line with policies of Plan International, donor and Nigeria, including its laws.
- To contribute to the provision of regular and detailed administrative report to inform project management decisions
Key End Results and typical Responsibilities
- Maintain general office systems including filing; including following up on timely timesheet submission; sending, receiving and distributing documents; and’ photocopying/Scanning.
- Coordinate and prepare mailings, including production, photocopying, assembling, posting and courier/shipping.
- Assist in the distribution of checks to vendors.
- Ensure the office is properly cleaned and well maintained.
- Support program activities in the field where necessary.
- Keep and maintain store records and materials to ensure prompt supply of materials to staff for the effective discharge of their work without any disruptions of work-flow
- Implement the travel plans for all visiting staff/consultants/personnel’s.
- Arrange for the repair and maintenance of office equipment and machinery to ensure that staff works effectively without any disruptions.
- Work with the driver to ensure all vehicle documentations are in order, including but not limited to maintenance and fueling.
- Assist in sourcing for quotations towards the procurement of goods and materials for program delivery as per corporate procedures to ensure value for money is obtained
- Maintain good professional relationship with relevant vendors.
- Perform additional and miscellaneous job-related duties for the office as assigned.
Qualifications and Experience
- A BSc or HND in related Financial/Business Administration courses.
- At least 2 years practical work experience in supporting financial and administrative systems for donor funded projects.
- At least 1 Year experience in a humanitarian response programme with focus on logistics management
Job Title: Project Coordinator

Role Purpose
- To provide overall co-ordination and management of the nutrition & Cash transfer Project funded by NJR3 in line with International best practices and relevant guidelines.
- The post holder is expected to have strong Emergency nutrition and cash programming. The project coordinator will be responsible for ensuring that the nutrition and cash programs in the state are implemented in line with the ministry’s guidelines and international humanitarian standards and donor guidelines.
- The post holder will interface and support programme team members, support programme coordination and policy engagement.
- The role requires strong facilitation and organisational skills along with the ability to analyse and communicate complex information to all stakeholders.
- Additionally, the project coordinator will work closely with the humanitarian program manager, M & E manager, nutrition Specialist and cash specialist to provide input into proposal development as required.
Key End Results and typical Responsibilities
Project Management:
- Provide guidance and technical support to the implementing project team, in all phases of the project cycle
- Develop an activity implementation plan, and procurement plan with the project team
- Lead/organize regular monitor visits and if required project action plans revisions and modifications
- Provide direct hands-on technical and managerial support to Nutrition coordinator, Cash transfer officer and PIN partners to effectively and innovatively manage nutrition and cash projects with focus on key technical areas including CMAM, IYCF as well as cash transfer
- Ensure documentation of good practices in emergency nutrition, cash programme and effective communication of lessons within and outside PIN with the aim to enhance learning to improve future planning and programming.
- Review and submit weekly/monthly CMAM/IYCF and other nutrition related progress reports and cash programme as well as other relevant data for stakeholders including nutrition in emergency working group, cash transfer working group, ministry of health and others.
- Responsible for the development of all narrative and financial report (with support from Grants Officer and finance department) in line with donor and Plan’s requirements
- Ensure compliance with donor rules and regulations
- Ensure the design, implementation and impact assessment of nutrition responses are fully in compliance with SPHERE & other international standards, national guidelines and policies and also in line with humanitarian accountability principles, values and code of conduct
- Monitor budget and ensure adequate burn rate with support form Humanitarian Program Manager
- Working with M&E Manager, nutrition specialist and cash specialist to ensure adequate data capturing of project beneficiaries and quality of the project
Qualifications and Experience
- Master degree in Public Nutrition, Public Health or equivalent and have a minimum of two year field experience in coordination position with an NGO on nutrition and child protection programmes.
- At least 3 years direct experience providing services to children at risk and victims of abuse, exploitation and violence, providing gender-sensitive and child-friendly counselling services, and/or developing/implementing referral pathways for nutrition services
Job Title: Emergency Logistics Coordinator

Role Purpose
- The purpose of this role is to provide procurement and logistical support for Plan International Nigeria emergency response in line with policies of Plan International Nigeria, donor requirements and Nigerian laws.
- The post holder will be supervised by the Emergency Response Manager, work closely with the Country Office Administration and Logistics Advisor and other members of the programme and admin team.
- S/he will communicate within Plan International Nigeria and with partners, vendors and related government institutions.
- The post holder will contribute towards the operational aspects of Plan International Nigeria emergency response and programmes, interfacing with both operational and programme team members.
- The post holder will also contribute towards the organisational development of Plan Internationals implementing partners.
Key End Results and typical Responsibilities
Programme development & Quality Management:
Logistics:
- Provide day-to-day support to emergency response staff at country office, field offices, international staff and visitors with timely welcome services, hotel and flights bookings and other support services.
- Provide induction to new staff on emergency response procurement and logistics function
- Manage contracts and services for the emergency response unit and secure appropriate accommodation/apartments for international staff on long term employment contracts.
- Ensuring that asset register for emergency response is up to date in line with donors’ requirements.
- Ensure compliance of the Plan International goods-in kind (GIK) policy for all GIK.
- Establish and maintain a well-functioning logistics support operation for Plan International Nigeria emergency response unit with special focus in the states (field offices) of operation
Procurement:
- Coordinate logistics and procurement operations with partners, finance, logistics and procurement committee
- Ensuring emergency procurement policy and procedures are adhered to
- Maintain records of all outstanding purchase orders with external vendors and arrange transportation and forwarding services for all orders to ensure delivery on schedule
- Ensure compliance with Plan International procurement and logistics standards and regulations
- Support field offices with procurement and logistics information flow
- Ensure compliance in warehousing management for field offices in line with best practice
- Liaise with emergency response specialists for development of emergency response procurement plan
- Prepare reports on procurement and material movement and ensure that reporting requirements are fulfilled in an accurate and timely manner
- Perform any other project related duties as specified by the ERM or delegate
Qualifications and Experience
- A degree in Procurement/Logistics/CIPS, Level 5/CILT, Level 5/Certification in Humanitarian Logistics (CILT)
- At least 2 years of experience working in emergency response logistics supervisory role.
- Fluency in English with excellent writing and speaking skills is required.
